Posting Number S-3558 Position Number 36460 Type of Recruitment External Position Title MANAGER / FACILITIES MANAGEMENT FINANCIAL SERVICES Position Summary Responsible for the administration, operation, and direction of the Facilities Management Financial Services unit including budget development, oversight, compliance, forecasting, monitoring, and auditing. Required Qualifications Bachelor’s degree, preferably in accounting, finance, or business administration.
Four years of experience in a fiscal management position.
Experience with budgeting.
Experience with financial statement preparation and auditing.
Supervisory experience.
Demonstrated ability to project a positive image and communicate effectively.
Ability to perform the essential functions of the position, with or without reasonable accommodation. Preferred Qualifications Master’s degree, preferably in accounting, finance, or business administration.
Experience with SAP or other financial software programs.
Experience with contract management financials, particularly related to construction and facility support.
Experience with timekeeping systems. Duties & Responsibilities Oversees all financial matters related to the Facilities Management Division including but not limited to, financial planning and budgeting, projections, forecasting, accounts payable, payroll, and auditing.
Prepares reports and documents including recommendations for matters relating to budget and financials.
Supports all Facilities Management cost center account holders in maintaining financial awareness; provides advice and counsel on budgeting, financials, projections, and cost controls.
Monitors and oversees all Facilities Management accounts including but not limited to General Fund, Central Energy Fund, and all Facilities Management project accounts.
Prepares and analyzes financial statements, provides reports, creates internal budgets, and prepares and analyzes budget projections.
Performs Facilities Management work order reconciliation.
Conducts Facilities Management payroll, maintaining awareness and compliance with applicable union contracts for wages and other compensation; this includes overseeing employee use and timekeeping reporting.
Provides financial services for Facilities Management contracts including Blanket Purchase Orders, Master Service Agreements, and Purchase Requests.
Supervises staff entering invoices for payment on purchase orders and contracts, ensuring accuracy and compliance with financial controls.
Ensures compliance with university credit card policies, including processing of Facilities Management credit card transactions.
Provides financial oversight of Facilities Management student employment expenses.
Performs project accounting and reporting for the University Engineering and Planning department including processing of project invoices and development of project reports.
Monitors facility project accounts and works with staff to ensure timely and accurate management including budgeting, allowable charges, and close-out of project accounts.
Manages fiscal year-end financial reporting requirements for the Facilities Management Division including accrual entries for business operations and project accounts, as well as coordinating the divisional response to accounting standards inquiries.
Serves as liaison to the Financial Planning and Budgets Office, Financial Services and Reporting, and the Contracting and Purchasing Services office.
Serves as a Facilities Management contact for the University Enterprise Resource Program and finance-related CMU policies.
