Summary: + Position Summary: + Oversees the comprehensive function and operations of the Family Medicine Residency Program and Family and Community Medicine FCM Administrative Office. Responsible for program compliance with national residency program accreditation requirements. Reports to the Program Director and Deputy Directors in all administrative activities related to the Family Practice Residency Program. Manages and evaluates the office staff of the Family and Community Medicine department. + Qualified individuals must have the ability with or without reasonable accommodation to perform the following duties: + Oversees the operation and management of the Family Medicine Residency Program and the FCM Administrative Office and staff. + Manages all aspects of the ACGME reporting process and Milestones Project for all Residents and Fellows. + Tracks expenses of the academic and administrative departments to ensure the program is fiscally sound. Completes monthly budget variance reports. Prepares and submits monthly payment requests for outpatient teaching physicians. + Develops, obtains, updates, and ensures compliance of Letters of Agreement between the residency program and outside offices and institutions serving as resident teaching sites, both locally and internationally. + Develops and prepares overall annual program budget in conjunction with the Program Director, + Serves as member of the departmental management team regarding strategic planning, process improvement, and resident and staff educational opportunities, with oversight of implementation and follow-up. + Establishes and maintains liaisons with other LGH departments for planning, compliance, and problem resolution. Maintains contact and communication with outside accreditation boards as they relate the residency program status and accreditation. + Directs the coordination and administration of the national ABFM In-training Examination given each November to all residents, including collation of materials, proctoring of the exam, communication with the Board and reporting and management of results. + Ensures maintenance of appropriate licensure for Faculty and Residents in collaboration with the Medical Staff Office, and coordinates credentialing of residents and graduates for staff privileges and third-party certification. + Coordinates the salary structure, contracts, and insurance for Residents requiring collaboration with National benchmarks, Human Resources and the LGH Executive office. + Manages the approval, scheduling, and organization of budget allotment for educational conferences, travel, orientation, retreats and other events for the Program Director, Faculty and Residents. + Oversees the residency recruitment process including the selection and evaluation of candidates. + Maintains time and attendance reports for faculty and residents in addition to direct reports. + The following duties are considered secondary to the primary duties listed above: + Provides notarization services for the department. + Provides coverage for office support staff during absences as needed. + Performs other duties as assigned. + Maintain the inventory of departmental and hospital forms and orders printed material from the Print Shop. Maintain purchase order requisitions and incoming supplies. + Attend and document participation in faculty meetings and in-service programs, and compose minutes where appropriate. + Other duties as assigned. Responsibilities: + Minimum Required Qualifications: + Associate’s Degree in Business Administration, Healthcare Administration or related field. + Two 2 years managerial experience. + Valid Notary Public Commission Must obtain within six 6 months of hiring, if not currently commissioned. Preferred Qualifications: + Four 4 years managerial experience. + Bachelor’s degree in Business Administration, Healthcare Administration or related field. + Previous experience with Residency Program.
