Kimley-Horn is looking for a Marketing Administrative Assistant to join our team in our Chicago West Office - 4201 Winfield Road, Suite 600, Warrenville, IL. This is an office-based position.
Responsibilities Review and distribute project opportunities/advertisements (RFQs) to marketing leadershipMaintain general marketing inboxPrepare expense reports and book travel Responsible for day-to-day production of proposals, leave behinds, reports, etc.Support conference and event planning effortsAssist project managers and marketing coordinators on a variety of assignments, including gathering resume information and project experience, assisting with complex forms, and gathering/compiling additional materials necessary for marketing proposalsSupporting graphic designers with various production and development needsHelp with a wide range of research tasks to assist marketing managers/leaders on various effortsUpdate and maintain project, employee, and client data in Vision (marketing database)Print and bind large, technical documentsCoordinate and arrange meals for special events, rehearsal meetings, presentations, projects, and department luncheonsAssist in gathering information from subconsultants and perform some subconsultant coordination duties as directed by the marketing coordinatorCoordinate conference rooms/meetings/staff calendarsCoordinate and arrange FedEx and courier delivery servicesTrack and report recently won projectsAdditional duties as assignedAnnual Salary Range: $45,000-$55,000
Qualifications Minimum of 0-2 years’ experience in a professional office environmentProficiency in Microsoft Office Suite, including Word, Outlook, Excel, and PowerPointDetail-orientedStrong organizational skills and multi-tasking abilitiesAbility to work under tight deadlines and handle multiple assignments concurrently Why Kimley-Horn?At Kimley-Horn, we do things differently.
