Marketing Operations Coordinator

Position Description:

The Marketing Operations Coordinator will support the global Marketing Leadership Team in ensuring smooth and effective operation. This role will focus on project management, operations support, and executive coordination. The ideal candidate is proactive, highly organized, and adaptable, with strong communication and project management skills. This role presents opportunities for growth within the organization for a motivated candidate with the right mix of experience and outlook.

Key Responsibilities:

Project Management:

Support the execution of specific initiatives, ensuring timely action in accordance with standard operating procedures (SOPs) and program owner direction.Maintain the Marketing Leadership Team’s operating rhythm documentation, key assignments, decisions, and deliverables.Ensure leadership team action items and priorities are captured and assigned within project management tools.

Meeting and Event Planning:

Plan and support marketing leadership team meetings, internal events, and town halls. Coordinate gathering inputs, preparing agendas and speakers, logistics (e.g., meeting venue selection, travel arrangements, catering, and on-site coordination).Take detailed meeting minutes, capturing key discussions, decisions, and action items for follow-up.

Operations Support:

Maintain leadership team documents, the global marketing calendar, and other marketing operations activities.Identify and implement process improvements to enhance efficiency and collaboration within Marketing Leadership Team operations.

Executive Administration:

Provide administrative support to the Marketing Leadership Team, including calendar management, travel coordination, and expense reporting.Track marketing leadership invoices and payments, and vendor contracts to ensure accurate financial management.

Qualifications, Skills and Experience:

Required:

Minimum of 5 years of experience in coordinator roles with project management and executive assistant responsibilities.Strong written and verbal communication skills.Proficiency in Office tools (e.g., Word, Excel, PowerPoint, Outlook).Excellent organizational and project management skills.Proven ability to work with senior leaders and handle confidential information with discretion.High level of initiative, adaptability, and attention to detail.Ability to work collaboratively in a fast-paced, global environment.

Preferred:

Exposure to marketing and communications, with experience in corporate event planning.Ability to travel occasionally to event locations, as needed.Familiarity with project management and documentation tools (e.g., Asana, Microsoft Project, Confluence).
