MATERIALS COORDINATOR-SURGERY Location Name *Southlake Campus Location US-IN-Merrillville ID 2024-12000 Category Procurement/Supply Chain Position Type Days FTE 1.0 Overview To be responsible for the coordination of supplies, equipment and inventory needed to support the functions of the Operating Rooms and Endoscopy at both Northlake and Southlake campuses, MASC (Methodist Ambulatory Surgery Center), and IMA. Responsibilities PRINCIPAL DUTIES AND RESPONSIBILITIES(*Essential Functions)
Coordinates the ordering, receiving, processing, distribution and storage of goods and supplies.
Creates and submits requisitions to Buyers.
Oversees the distribution of supplies to their designated locations, ensures par levels are maintained, and monitors expiration dates.
Plans and directs standard and specialty supplies as identified on physician preference cards and scheduling requests.
Serves as a liaison between vendor representatives and the Operating Room Manager/Director.
Ensures compliance status of vendors via computer system.
Coordinates the management of service and vendor contracts with clinical leadership and supply chain.
Demonstrates good command of facility's operating system for inventory management and ensures that supplies are entered into the system in a consistent manner.
Acts as the integral facilitator of the hospitals' physical inventory process for surgery, with collaboration from clinical leadership and supply chain.
Maintains the highest level of trust and confidentiality in representing the best interests of the hospital.
Observes best practices for cost containment and seeks opportunities for improved savings and efficiency.
Works with clinical leadership and finance on case-costing and reimbursement analysis.
Participates in survey readiness (CMS, State of Indiana, and The Joint Commission) under the direction of the OR Manager and Clinical Director.
Collaborates with the OR Manager and Clinical Director on any supply or equipment trials for the hospitals.
Maintains consignment inventory and ensures pricing is current as outlined in consignment agreements.
Collects data as requested by the clinical leadership to facilitate business and operational decision making.
Creates and presents reports related to inventory management.
Acts as an ad hoc member of the value analysis process to evaluate products based on clinical efficacy, safety, and cost, in collaborating with perioperative leadership and Supply Chain Management.
Qualifications JOB SPECIFICATIONS(Minimum Requirements)
KNOWLEDGE, SKILLS, AND ABILITIES
Ability to understand basic business and financial reportsStrong organizational skills and ability to multi-task in a fast-paced surgical environmentStrong verbal and written communication skillsExcellent customer service to both internal and external customers Knowledge of medical supplies used in the surgical settingStrong command of medical terminologyAbility to work with the inventory management operating systemWorking knowledge of operational policiesKnowledge of State, Federal, and regulatory requirements preferred
EDUCATION
High School Diploma/GED Equivalent Required Must have 1 year of experience in either inventory management OR surgery/surgical center environments.Experience working with vendor/service contracts is preferred. 1 Required
