Summary:

The Materials Technician Lead of Distribution Services is accountable for the effective oversight of distribution, and delivery services to provide maximum levels of efficiency and service to inpatient nursing areas, surgical services, emergency services, women & infant’s services and various other clinical non-clinical departments for the majority of supply chain services.  The Materials Technician Lead plays an integral role in support of the BH Finance & Materials objective of maintaining inventory at optimal levels in order to control supply chain costs in support of the delivery of quality patient care.  The Materials Technician Lead fosters positive internal relationships within the department, and serves as a key liaison to all departments. The Materials Technician Lead supports the Materials Manager by leading the activities of assigned personnel, training staff, setting performance objectives, and providing input for performance evaluations.  In addition, the incumbent leads the daily activities of the Materials Technicians I & II, and supports the Manager and Assistant Manger with scheduling, monitoring employee productivity and effectiveness, and resolving customer and personnel issues.

The Materials Technician Lead of Distribution Services reports directly to the Manager of Materials of Distribution Services.  The Materials Technician Lead oversees the receipt, verification, maintenance, and secure delivery of materials.  The Materials Technician Lead performs all functions and responsibilities of the Materials Technician I & II as required in order to effectively accomplish daily departmental objectives.  The incumbent collaborates with key constituents within the various departments in order to prioritize and coordinate the flow of supplies through the health system.  The Materials Technician Lead assists in the coordination of emergency shipping and receiving of critical medical/surgical supplies with other departments.

The Materials Technician Lead supports the Materials Manager of Distribution Services in assigning, checking, and reviewing workflow and individual output for volume and quality.   The incumbent leads materials technician staff in daily activities and resolves issues and problems, referring major issues to the Assistant Manager or Manager.  The Materials Technician Lead provides leadership, guidance, and consulting to team members, and provides feedback for appraisals and recommendations for employee transfer, discipline, and other personnel actions to the Assistant Manager and/or Manager of Materials.

Job Responsibilities:

1) Leads the activities of the materials technician staff, including monitoring employee productivity and effectiveness, and resolving customer and personnel issues.    

2) The Materials Technician Lead performs all functions and responsibilities of the Materials Technician I & II as required in order to effectively accomplish daily departmental objectives and support departmental workflows.

3) Ensures assigned daily individual work tasks and responsibilities are completed in a timely and accurate manner.Oversees processes for incoming goods, timely delivery, and accurately put away.

4) Problem Solving- Review and resolve all issues and escalate as needed to manangement in a timely and respectful manner.  

5) Customer Service- Ability to provide a high quality level of service to meet customer service standards and expectations for the department.  

6) Routine Rounding- Daily rounding to all supporting areas to assist and provide support where needed and to assess productivity.

7) Communication- Acts as a liasion for information exchange between supply chain colleagues, internal and external customers.  

8) Ensures quality of work produced meets or exceeds all customer and professional expectations.  Performs other related duties as assigned, observes all health and safety requirements, and adheres to Baystate Health and Department compliance policies and all applicable laws and regulations.

9) Serves as a "Super-User" of Materials Management Inventory System software and other related inventory systems within Supply Chain (e.g., Handhelds, Pyxis, etc. )

10) Supports the department quality control program for incoming and outgoing orders, ensuring accuracy, product integrity, and appropriate follow-up.

11) Responds to urgent or special deliveries to ensure timely delivery of goods and communicates information to all applicable parties.

12) Provides training for new and existing employees with emphasis on development of customer service philosophy and service excellence techniques.   Assists the Manager in the development and implementation of departmental goals and objectives.  Ensures the deparmtent(s) are maintained in a neat, clean, orderly and safe manner at all times.

Required Work Experience:

1) Working knowledge of materials management and supply chain operations with 5 years' related and progressive work experience in heatlhcare distribution environment.

Preferred Work Experience:

1) Leading staff.

Skills and Competencies:

1) Knowledge of hazardous materials handling rules and regulations.

2) High degree of skills with the materials information system(s).

3) Strong English communication skills (verbal and written), and the ability to interact with nursing, physicians and other members of the health care team in a courteous and effective manner.

4) Ability to lead and work collaboratively with staff and interdisciplinary colleagues.

5) Must possess the ability to make sound judgements, solve problems within the scope of responsibility, and perform various activities according to priority or emergent situations.

6) Proven ability to demonstrate creativity in gaining efficiencies in the supply chain stations and handheld technology, computer skills and excellent arithmetic skills are required.

7) Ability to perform steadily as a team leader within a physical work environment.
