PurposeThe Student Experience Associate role in the Texas McCombs MBA for Working Professionals Student Affairs team is responsible for assisting a Senior Academic Program Coordinator in the execution of weekend class sessions, coordinating academic and community-building events, and fostering student development. This role manages several key aspects of program operations, including but not limited to procurement, travel and reimbursements, program communications, and supports a positive and growth-oriented community through building trusted relationships with students, faculty, cross-functional team members and internal/external vendors. While duties will primarily support one Working Professional MBA program, this role works collaboratively across the Working Professional and Executive MBA program team and duties may shift focus as needed to support team members.
ResponsibilitiesProgram Operations
Coordinate the procurement and distribution of course materials, ensuring timely and accurate delivery through proactive communication with faculty and collaboration across departments.Assist in organizing remote class weekends and events, serving as a backup to the Senior Academic Program Coordinator. This includes coordinating with faculty, staff, caterers, custodial staff, hotels, travel providers, and guest speakers.Manage documentation for travel arrangements and reimbursements for staff and faculty, maintaining hotel rooming lists and processing purchasing requests.Stay informed on UT and McCombs purchasing guidelines, updating training materials as necessary.Maintain student email distribution lists and provide ad hoc support to program leadership.Student Affairs
Offer problem-solving assistance and resource referrals to students.Develop and distribute weekly program updates, manage ad hoc program announcements, and maintain student resource website.Creates, maintains and distributes weekly program updates for students, maintains the program resources website in Canvas , and ad hoc email announcements. Triages email inquiries, proactively and independently researches matters, communicates information across multiple team members.Develop and distribute weekly program updates via Canvas and manage ad hoc email announcements.Handle email inquiries by researching issues independently and communicating findings to relevant team members.Support the execution of class weekends and program events such as Orientation, Student Organization activities, and Graduation.Cultivate relationships with faculty, students, cross-functional team members, and internal/external vendors.Strategic Initiatives
Provide feedback on current processes and supports planning and implementation of process improvements.Performs other related duties as assigned.Required QualificationsBachelor's degree and one year of experience at the Administrative Assistant level, or high school graduation or GED, and five years of clerical experience, including one year of experience at the Administrative Assistant level.Service-minded approach to executing job functions. Sharp attention to detail, innovative problem-solving skills, and collaborative attitude. Excel at turning challenges into opportunities.Strong interpersonal and communication skills, both written and verbal. Proficient with Microsoft Office suite, and other common office technology.Ability to work flexible hours, including evenings and weekends and conduct in-state travel in support of job duties.Relevant education and experience may be substituted as appropriate.
Preferred QualificationsBachelor's degree and 2-3 years' experience performing complex administrative functions. Experience working in an academic environment.Knowledge of university procurement and payment policies.Experience with event planning.Experience working with graduate student populations. Experience working with self-supporting degree programs.Salary Range$43,000 + depending on qualifications
