Position Summary The Administrative Assistant performs administrative and office support activities, for different departments. Depending on the location/department they are hired for, duties may include fielding telephone calls, receiving and directing visitors, word processing, creating spreadsheets and data entry, and filing. Main Duties and Responsibilities • Answer and redirect phone calls • Produce and distribute correspondence memos, letters, faxes, and forms • Assist in the preparation of regularly scheduled reports • Provide information by answering questions and requests • Handle multiple projects • Carry out administrative duties such as filing, typing, copying, binding, scanning, etc. • Write letters and emails on behalf of other office staff • Handle sensitive information in a confidential manner • Reply to email, telephone, or face to face inquiries • Resolve administrative problems • Receive, sort, and distribute the mail • Greet and assist visitors to the office • Provide polite and professional communication • Conduct data entry • Organize, store and print company documents as needed • Processing sales tickets • Completing customs paperwork • Organize and document incoming cheques • Responsible for shipping and receiving courier packages • Maintain a filing system for data on employee, customers, external partners, and facility contact lists • Handle queries from managers and employees • Other duties as required Required Qualifications • Proven admin or assistant experience • Knowledge of office management systems and procedures • Excellent time management skills and ability to multi-task and prioritize work • Attention to detail and problem solving skills • Excellent written and verbal communication skills • Strong organizational and planning skills • Proficient in MS Office • At least 2-4 years of experience in the field or in a related area • High school diploma or equivalent The MCA Advantage SAFETY is not a priority, it's a VALUE at McAsphalt.
