We are looking for a Medical Communications Assistant who is eager to join our Scientific Communications, Medical Information and Medical Learning team, based in our Headquarters in Brussels, Belgium.
About the role
We are seeking a highly organized and proactive Scientific Communications, Medical Information and Medical Learning Assistant who will play a crucial role in fostering relationships with healthcare professionals, scientific societies and medical communications vendors.
This position involves supporting the Head of Scientific Communications, Medical Information and Medical Learning and her Team.
As a Medical Communications Assistant, you will be responsible for providing administrative support, coordinating team activities, and ensuring smooth day-to-day operations as well as getting involved in projects.
What you’ll do
Support KOL, and Medical Societies Engagement:
Support the execution of engaging with external parties ensuring all activities comply with relevant regulations and company policies. Act as a point of contact for external stakeholders with effective and professional communication.Project Coordination:
Support the planning and execution of specific Sci Comms projects and initiatives.Assist in the coordination of events, such as conferences, workshops, and team events.Administrative support:
Assist in scheduling meetings, preparing agendas, and taking minutes. Manage calendars and coordinate travel arrangements.Manage TEAMS channels & document management as needed.Submit and track Need Assessment Forms in UCB systemCommunication:
Liaise with external partners, including healthcare professionals, regulatory bodies, and vendors as needed.Distribute internal communications, such as newsletters and updates for the Sci Comms community.Financial Management:
Oversee the procurement process for new projects, familiar with SAP and the necessary steps to the payment of invoices; completing expense reports; creation of purchase and payment forms.Track key vendors invoices and payments
Interested? For this role we’re looking for the following education, experience and skills
Education: Bachelor’s degree in a relevant field (e.g., healthcare, communications, public health).5 years + of experience in community engagement, patient support, or a related field.Experience in the medical affairs environment is preferred.English proficiency.Excellent communication and interpersonal skills.Strong organizational and project management abilities.Proficient experience with Microsoft Office programs (TEAMS, excel outlook), SAP, e-request, ORBIT, Veeva and the ability to quickly adapt to new systems and processes.Ability to work independently and at ease to transversally work with other teams.Detailed-orientated and proactive.Passionate about improving patient outcomes and community.Ability to work independently and at ease to transversally work with other teams.Passionate about improving patient outcomes and community health.
