Medical Secretary
**Job Summary** The Medical Secretary provides administrative support to healthcare professionals and departments, ensuring smooth day-to-day operations. This role involves managing communication, maintaining patient records, scheduling appointments, and handling various clerical tasks. The Medical Secretary serves as a key liaison between patients, healthcare staff, and external parties to ensure efficient and professional service delivery. **Essential Functions** + Greets and assists patients, visitors, and staff, responding to inquiries and directing them to the appropriate department or personnel. + Schedules patient appointments, manages calendars, and coordinates meetings for medical staff. + Maintains accurate and up-to-date medical records, ensuring proper filing, organization, and confidentiality in compliance with HIPAA and other regulatory standards. + Handles incoming calls and correspondence, relaying messages and information in a timely and efficient manner. + Prepares and processes medical reports, forms, and other documentation, ensuring accuracy and compliance with organizational standards. + Assists with billing processes by gathering and verifying patient information, insurance details, and coding data as needed. + Orders and maintains office supplies and equipment, ensuring availability for staff and efficient department operations. + Coordinates with clinical staff to assist with patient flow, ensuring minimal delays in service. + Supports department projects and initiatives by providing clerical assistance, data entry, and reporting as needed. + Acts as a liaison between patients, healthcare providers, and external contacts, ensuring clear and effective communication. + Follows up on pending medical documentation, tests, or appointments to ensure timely completion and patient care. + Performs other duties as assigned. + Complies with all policies and standards. **Qualifications** + H.S. Diploma or GED required + 1-3 years of experience in an administrative or clerical role, preferably in a healthcare setting required + Familiarity with medical terminology and healthcare procedures preferred **Knowledge, Skills and Abilities** + Knowledge of medical office procedures and terminology. + Proficiency in using office software, including word processing, spreadsheets, and electronic health records (EHR) systems. + Strong organizational skills with the ability to prioritize tasks and manage time effectively. + Excellent communication and interpersonal skills for interacting with patients, healthcare staff, and external contacts. + Ability to maintain confidentiality and comply with HIPAA regulations. + Attention to detail and accuracy in handling patient records, documentation, and billing information. + Problem-solving skills and the ability to work independently with minimal supervision.
