Medical Service Clerk

Job Description:

Job Summary:

Provides administrative support to the medical providers and nursing teams working within the psychiatry department.

Essential Job Functions:

Works with nursing teams, clients, and ROI department to request medical records from outside agencies

Submits referrals on behalf of the medical provider for services outside of the psychiatry department.

Runs daily reports to improve communication between scheduling and clinical staff.

Maintains the schedule for virtual care rooms for psychiatry offices.

Assists department in clerical duties to include, but not limited to, faxing, client letters, transfers and discharges, caseload reviews.

Distributes mail to clinical team.

Schedules virtual meetings as needed for audio/visual psychiatry appointments and meetings.

Other duties as assigned by supervisor.

Abide by HIPAA guidelines at all times when dealing with clients and co-workers.

Is sensitive and responsible to management needs, such as data collection, program evaluation, maintenance of schedules, and changes to the electronic health record.

Participates in all required meetings.

Knowledge, Skills, and Abilities:

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to communicate effectively before groups of residents, employees of the organization, family members and other contacts in the community.

Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals.

Ability to apply common-sense understanding to carry out instructions furnished in written, oral or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

Shall be able to establish effective relationships via telephone and personal contacts. Shall be able to follow direction and accept supervision.

Experience and Education Qualifications:

 Must possess at least a high school diploma or GED. Experience in office setting is preferred

Employment Requirements:

Successful completion of background check including criminal record, driving record, abuse/neglect and fingerprint check.

Completion of New Hire Orientation at the beginning of employment.

All training requirements including Relias at the beginning of employment and annually thereafter.

Current driver’s license, acceptable driving record and current auto insurance.

Physical Requirements:

ADA Consideration - Sedentary work:  Exerting up to 10 pounds of force occasionally (exists up the 1/3 of the time) and/or a negligible amount of force frequently (exists 1/3 to 2/3 of the time) to lift, carry, push, or pull, or otherwise move objects, including the human body.  Repetitive movements of hands, fingers, and arms for typing and/or writing during work shift.

Sedentary work involves sitting most of the time but may involve walking or standing for brief periods of time.  Jobs are sedentary if walking and standing are required only occasionally, and all other sedentary criteria are met.
