Meeting and Event Planner

Southern Company is looking for a dynamic and innovative Meeting and Event Planner. This position is responsible for managing the end-to-end process for more than 30-40 internal and external meetings, events and experiences annually. This includes but is not limited to consulting with internal clients and managing the planning and execution process with an emphasis on superior customer service and best-in-class guest experience. This position requires an in depth understanding of how to deliver anticipatory service while providing programming, housing, food and beverage, event collateral, teambuilding and overall project management for all aspects of meetings, events and experiences. This position will also negotiate with suppliers for the best price, with a focus on overall savings to both the client group and the company and manage contracts. The Meeting and Event Planner Sr. reports to the Director of Strategic Meetings and Events – Experience Team.

MAJOR JOB RESPONSIBILITIES:

Manage the planning and execution of events and meetings for Southern Company and its subsidiaries Consult with senior level clients to evaluate budget, scope, format and other logistical needs Negotiate and manage all supplier contracts and arrangements, including food and beverage, entertainment, external speakers, teambuilding, housing, production and event technology Build and maintain supplier relationships, as well as manage supplier/vendor performance Manage all activities at site location before, during and after event, including providing work direction to suppliers and support staff Will be responsible for creating announcements and invitations May work with show producers to create and build event content Maintain the data-tracking tools associated with reservations, attendee confirmations and housing To meet deadlines and the needs of client events, the position requires flexible work hours, including nights and weekends

CANDIDATE QUALIFICATIONS:

Education

High school diploma or equivalent is required Bachelor’s degree or equivalent experience preferred Certified Meeting Professional (CMP) preferred

Knowledge, Skills and Abilities

Minimum 3-5 years of meeting and event planning experience in a full-time role required, preferably with previous 4-5-star hotel, corporate or association and sports and entertainment experience Proven effective interpersonal skills and client relations experience (C-Suite level highly preferred) Proven analytical, organizational and project management skills General knowledge of business practices associated with procurement, such as budgeting, logistics coordination, and vendor management Strong communication skills (both verbal and written) Must be able to work in a fast-paced environment and work well under pressure Must be able to work efficiently with minimum supervision to make decisions and anticipate steps Proficient computer skills (MS Office applications required, experience with online registration systems like Swoogo or Cvent preferred)
