Definition:

This position requires a people person who is highly-motivated to deliver the highest standards of Member service for the Club at Horseshoe Bay Resort. The candidate must possess a positive and professional demeanor at all times and have a flexible schedule to include weekends, holidays and Member events. Experience in hospitality, specifically Club or Resort background with strong customer service, computer knowledge, organizational and follow-up abilities preferred. This position very much serves as the face of the Membership Department.

Key Responsibilities:

Detail Oriented:

Attention to detail is essential for ensuring accuracy and maintaining high standards in all aspects of this role Handle Incoming Calls Efficiently: Answer and route all incoming telephone calls promptly, courteously, and accurately. Manage Voicemail: Check and respond to voicemail messages in a timely manner, ensuring all inquiries and requests are addressed. Email Correspondence: Monitor and respond to emails quickly, maintaining a professional tone and providing accurate information. Maintain Communication Records: Log and track all phone and email interactions for reference and follow-up purposes. Assist with Inquiries: Provide information and assistance to callers and email senders regarding services, bookings, and general inquiries. Coordinate with Other Departments: Liaise with other departments to relay messages, requests, and ensure smooth communication flow. Screen Calls and Emails: Identify and prioritize urgent calls and emails, ensuring they are directed to the appropriate person or department. Customer Service Excellence: Deliver exceptional customer service by being attentive, patient, and helpful in all communications. Confidentiality: Handle sensitive information with discretion and maintain the confidentiality of client and company information. Technical Proficiency: Use telecommunication systems and email platforms efficiently, troubleshooting any minor technical issues that may arise.

General Duties:

Interact with Members, guests, area realtors and visitors offering warm welcomes, requested information, directions and fond farewells. Know and communicate general knowledge of the property, policies and procedures, operating hours and current events property-wide. Assist with event planning, event name tags, reservations, and hosting Member events. Orchestrate all tasks associated with issuance of unaccompanied guest passes. Serve Members and their guests by making reservations to the amenities and suggesting activities and services to enhance their experience and generate revenue in our outlets. Maintain a good rapport with all managers and associates to ensure a smooth resolution of all Member and guest concerns. Maintain membership collateral including but not limited to prospect and orientation packets. Contact new Members to pick up or mail their temporary/permanent Member cards. Assist in member statement communication and general accounting support. Prepare and issue permanent and temporary Member cards to Members. Oversee member photograph collection and directory. Introduce new Members to their Member’s website and walk them through the password process. Provide support to the Membership Office to include tasks and projects necessary by the Member Service Director, Director of Membership and GM/Membership. Greet prospects and area realtors, take accurate information and collection of Membership Interest Cards to pass along to the Director of Membership. Obtain notary license and provide notary services to the membership department.

Employment standards:

High School diploma or equivalent required. Strong interpersonal, multi-tasking and prioritizing skills. Strong computer skills. Organizational and follow-up skills. Excellent oral and written communication skills. Position requires flexibility of schedule, creativity, social and interpersonal skills, decision making ability, initiative, and sense of urgency. These skills are required in order to address items and issues that occur on a daily basis within the Club and Resort.
