The Opportunity:
Membership Coordinator
Who We Look For:
We are looking for an individual who can provide support to the Director of Membership.
Responsibilities:
Assist with all membership office sales efforts, including responding to general inquiries and client requests.
Liaise with members and staff on a regular basis
Assist members in the absence of the Membership team
Coordinate and assist with member events.
Communication w/ resort re: membership events & new members
Housekeeping/Clubhouse Communications (about member areas/needs)
Building Maintenance & Repairs; Hotsos Requests
Birchstreet Ordering for the department
Record Keeping (Applications, credit card auth., agreements, etc.)
CRM data input/management
Assist members with Pool, Restaurant, Spa, Hotel & tee time reservations
The creation of announcements & invites to be sent to members
As directed by the Director of Memberships, assist with member billing disputes & questions
Membership Cards (Create and distribute)
Coordinate with membership billing the establishment of new member accounts and designated monthly dues payments
Send new member announcements to the resort and update membership directories
Assist with requests from department leaders
Minimum Qualifications:
Previous administrative, luxury hotel, or related experience is strongly preferred.
Knowledge of systems is preferred.
Sales and/or event coordinating experience is a plus.
Proficient in computer skills (including Windows and Microsoft Suite) necessary to complete any correspondence such as proposals, letters, and office communications.
Excellent telephone manner and ability to communicate with clients and all levels of management.
Ability to work effectively under pressure and handle several projects/deadlines.
Strong organizational and self-guided multi-tasking skills.
A sincere willingness to provide service to residents, guests, and peers.
Good organizational skills, with the ability to work independently.
Ability to function well under pressure, set priorities and adjust to changing conditions.
High work ethic, with a sense of responsibility for the role filled within our team.
A successful candidate will have a flexible schedule, ability to work weekends and holidays. Must be fluent in English and possess legal work authorization in the United States.
