MORTGAGE ADMINISTRATION MANAGER

£27,000 - £30,500 inc Bonus 

 

Overview

We are seeking an initiative-taking and highly organised Admin Manager to oversee the day-to-day operations of the administrative team, ensuring smooth workflow, timely resolution of issues, and effective management of various tasks across departments. The ideal candidate will have strong leadership skills, experience in managing teams, and the ability to manage a wide range of administrative duties while maintaining a high level of efficiency and accuracy.

 

What you will be responsible for

Daily Management:Address daily queries and issues, along with managing various ad-hoc tasks as required.Support in escalating and resolving complex cases, ensuring timely resolutions.Team Support and Oversight:Oversee day-to-day activities including annual leave, employee reviews, organizing holiday cover, and managing sickness records.Support team members by assisting with pipeline business, managing diaries, and ensuring deadlines are met.Manage and conduct sales progression meetings, preparing necessary documentation and coordinating with key individuals such as L&NH, Claire, Courtney, etc.Reporting & Data Management:Manage aged debt, ensuring accurate tracking and resolution.Oversee  trackers, system reports, audits, and overall system management.Produce and analyse introducer progression reports and ensure pipeline turn and KPIs are managed efficiently.Maintain and track spreadsheets for management reporting and performance metrics.Process Management & Improvements:Manage and oversee Anti-Money Laundering (AML) tasks, packs, and processes, ensuring compliance with all regulations.Strengthen relationships with panel solicitors, handle bulk chasing, and manage escalations as needed.Continuously review, adjust, and implement process improvements for workflow, panel solicitors, developers, and Housing Associations (HAs).Training & Development:Support and coach the administrative team, conducting separate training sessions tailored to individual needs.Conduct monthly one-on-one meetings with team members, and perform core competency reviews every six months.Provide full training to new administrators and continually enhance the training pack for maximum team efficiency.Recruitment & Resource Management:Lead recruitment efforts, including conducting interviews and onboarding new administrative staff.Ensure holiday and sickness cover for admin advisors, and effectively manage pipeline and AML tasks in their absence.

 

Qualifications & Skills

Proven experience in managing and leading an administrative teamStrong organizational and time-management skills, with the ability to prioritize tasks efficientlyExcellent communication skills, both verbal and written, with the ability to interact effectively with various stakeholdersProficiency with data management tools such as Excel, and other reporting softwareIn-depth understanding of AML procedures and legal compliance requirementsAbility to implement process improvements and manage workflow effectivelyExperience in recruitment, training, and team developmentStrong problem-solving abilities and the capability to handle complex and sensitive issues with professionalismUnderstanding of the new build and shared ownership market would be beneficial

General Background

An Estate agency and/or financial services background would be an advantageAdministrative experience is essential
