Minimum Qualifications:
Bachelor’s degree in Interior Design or equivalent. Three years of related experience in project management and coordination.
Job Summary:
The primary purpose of the Move Activation Manager is to provide leadership and management for activation and deactivation efforts related to capital and operational projects across UTMB locations. This position works independently on activation and deactivation efforts, including furniture and artwork procurement and installation; coordination of inventory management with furniture vendors; interiors coordination; scheduling and move coordination; budgeting and contract management; and related project communications to customers, stakeholders, and external vendors.
Job Duties:
Furniture and artwork procurement and installation, including development of budgets, requisitions, and variance submissions and schedules. Track all interiors-related requisitions to ensure all purchase orders are promptly issued. Coordination and compliance, including variance submissions, drawing/submittal reviews and checklists, participating in OAC meetings, and conducting site visits during Construction Administration Move coordination and site activation/deactivation, including site inspections, furniture, and artwork punch lists, schedules, move management, and tracking and creation of communication plans, move procedures, and manuals. Assist with contract management including related invoice/budget tracking reports, and schedules. Responsible for ensuring invoices for contracted move vendors are paid by all customers. Document management including project reports, space reports, meeting minutes, and project file organization. Support the Principal Interiors Manager in reviewing and approving all interiors-related invoices and submit for payment. Reconcile payments/invoices for furniture, art, and interior vendors. Collaborate with the Facilities Information Management team to ensure room numbers are recorded accurately in UTMB’s space management software, Archibus. Support Principal Interiors Manager in creating, maintaining, and updating UTMB standards for finishes, furniture, and artwork Support Principal Interiors Manager in creating, maintaining, and updating UTMB policies for furniture and artwork. Support Principal Interiors Manager in ensuring projects adhere to UTMB standards for finishes, furniture, and space allocation.Knowledge/Skills/Abilities:
Excellent verbal and written communication skills are essential for this position. Must possess strong organizational and time management skills Must be proficient in the Microsoft Office Suite and eBuilder Must be able to successfully manage multiple concurrent projects with varying degrees of complexity and urgency Must have strong customer service skillsSalary Range:
Actual salary commensurate with experience.
Work Schedule:
Monday through Friday, 8am to 5pm, and as needed on occasion.
