**Job Description**
**Marketing Statement:**
The Washington Metropolitan Area Transit Authority (WMATA) Occupational Health and Wellness (OHAW) Department is seeking an experienced Occupational Health Support Technician who will be responsible for providing comprehensive administrative support to OHAW¿s Clinical Services Program. Responsibilities include but are not limited to answering and returns phone calls/emails, assist with the transfer and maintenance of charts into electronic media (Electronic Health Record ¿ EHR), registers & discharges patients as assigned, etc. The ideal candidate will be proactive, have excellent interpersonal skills, work independently, be customer focused, responsive, and will be able to exercise discretion and composure in a complex occupational health setting. This role is critical for OHAW daily operations and requires a dependable and highly organized individual who communicates effectively, is an adept problem-solver, and skilled multitasker. Previous medical office experience is preferred along with the knowledge of HIPAA and OSHA regulations.
**MINIMUM QUALIFICATIONS**
**Education**
+ High School Diploma or General Equivalency Diploma (GED) equivalent required
**Experience**
Minimum six (6) month experience working with medical records, maintaining confidential records or in another clerical/administrative role is required
**Preferred**
**Education**
+ Associate's Degree in Medical Records Management, Healthcare, or related field
**Experience**
+ Minimum of three (3) years of experience in medical services
**Certification/Licensure**
+ Medical Records or related certificate

In accordance with the Washington Metropolitan Area Transit Authority¿s Continuity of Operations Plan (COOP) this job has been identified as critical to mission essential functions. Incumbents in this role may be required to report to or continue to work in the event of authorized office closings or service suspensions due to severe weather, natural disaster, fire, operational emergencies or related events.
**SUMMARY**
The Occupational Health Support Specialist is responsible for assisting the Occupational Health and Wellness department to include performing various administrative duties, maintaining confidential files of current and former WMATA employees, and organizing and storing files to ensure accurate inventory and retrieval when necessary.
**ESSENTIAL FUNCTIONS**
+ Prepares, organizes, updates, and maintains medical charts and files. Audits, categorizes and sorts records to detect differences or similarities in information and correct errors. Maintains, reviews, and updates medical charts and paperwork of applicants, former, current, and retired employees. Gathers employee records, filing them in the appropriate locations and ensuring their secure storage and handling. Scans pre-employment charts.
+ Pulls charts and reviews files as requested in response to grievances, arbitration, and employee requests.
+ Prepares and scans documents for archival and arranges for the disposal of files and records, following records disposal instructions and schedules.
+ Conducts chart reviews for employees visiting the office. Copies information from employee charts. Explains HIPAA procedures to employees.
+ Generates reports and data summaries as needed, such as for employee transfers or retirement lists.
**OTHER FUNCTIONS**
+ Assists with maintaining Standard Operating Procedures and work instructions. Identifies gaps in the Standard Operating Procedures and recommends solutions for resolving the issues.
+ Complies with HIPAA guidelines and keeps abreast with HIPAA updates.
+ Monitors medical and office supplies, maintaining inventory levels, problems, and usage of medical equipment.
+ Assists with the transfer and maintenance of charts into electronic media.
+ Works with building maintenance staff regarding maintenance issues as assigned.
+ Ensures paperwork and time stamping is included in the medical form.
+ Answers and returns phone calls from employees requesting information.
+ Scans Department of Transportation information to send via electronic mail.
+ Registers & discharges patients as assigned.
