Job DescriptionTo support the Ocean Services manager/supervisor in the smooth running of the department within the branch, which includes knowledge of the ocean import & export product in the market place through focus on Operations, Finances, Sales, People, Systems, and Culture in adherence to the company’s policy and procedures.
Major Duties and Responsibilities:
Operations
Ensure smooth and timely freight process flowEnsure accurate and timely data entry into our operational systemTrack and Trace Ocean Export & Import Files and reportingEnsure accurate and timely client and vendors billing.Monitor compliance at all times to regulations. This includes internal policies and procedures such as Operational Process Standards (OPS) and external government regulations or customer policies/requirements.Understand department process flow, constantly looking for areas of improved efficiency.Ensure all customers standard operating procedures are followed as per the standard operational procedures. Provide timely responses to emails in both personal (within 24 hours) and voicemails (within 1 hour).Interact with our customers in arranging their international shipments, meeting customer service standards.Contribute to maintain good relationships with suppliers (Ocean carriers, trucking companies and others involved).Support the Manager/Supervisor as required and applicable in the following areas:
Build and maintain strong relationships with vendors: steamship lines, trucking companies, CFS warehouse, rail terminals.Support after hours operations, if needed, by utilizing email on phone and laptop access.
Finances
Meet weekly or more if required with the department manager.
Proactively work to maintain accounts payment within the terms.
Attend account discrepancy meetings
Ensure company credit procedures are followed and utilized effectively (credit extensions, branch credit request, CASH account procedures, etc.)
Sales
Support the manager and or the sales department where needed:
Take an active role in the transition of new business/ updates to existing business including rate schedule updates, SOP creating and maintenance, account review with operations staff, introductory meetings with customers, and proactive establishment of tactical account management by having service provider included into the transaction process.People
Meet weekly with manager to further develop leadership skills.
Meets company standards of 52 hours training per year per employee.Participate in monthly One-On-Ones and yearly reviews per employee.
Contribute to the effective weekly department meetings with team.
Meet monthly to review alignment with Manager for department goals and direction.
Review department goals and business plan periodically with team to ensure buy-in and accountability
Systems
Ensure all system tools are used to their greatest advantage based on the department size and organization.
Be open to implementing new system changes and enhancements into your department.
Be involved and suggest system/process improvements.
