Introduction

Executive Assistant
• Administrative support to China R&D VP such as travel arrangement, calendar management, expense report etc.
• Coordinate and follow up on all the documents that need to be signed and sealed by China R&D VP.
• Assist the communication with internal departments and external business partners if necessary.
• Assist in visa application; trip arrangement and meeting arrangement for oversea visitors.
• Coordinate and support cross-functional meetings, seminars and workshop.
• Handle phone calls, letters, packages, and other forms of correspondence.
Office Management
• Independently lead and manage day-to-day company overall’s administrative functions organizing office administration process and office supply such as drinks, utility, stationary, printings, greens, courier, meeting room, cars, hotels etc. to make sure office working environment clean and in well order.
• Oversee the signing and renewal of office lease contracts, manage payments, and handle all related administrative tasks.
• Coordinate with suppliers for office renovations, including contract negotiations, payment processing, and other associated duties.
• Weekly English training for employees
• Coordinate maintenance and repair of office equipment and facilities.
• Liaise with vendors and service providers for office and facility needs.
• Plan and coordinate all installations and refurbishments.
• Manage the upkeep of equipment and supplies to meet health and safety standards.
• Strategically organize and executive administrative projects related to procurement, vendor management, policy setting, contracts administration etc.
• Supervise office housekeeping.
• Supervise and perform the procurement of necessary office supplies and equipment according to the Policy
• Liaise with both internal and external stakeholders of the company for office management and other functional projects
• Manage reception client greeting, to be in a friendly and efficient manner and in line with company culture.
• Arrange and support VIP visitor’s accommodation including conference room, hotel, traffic and others.
• Provide support to management and assist in ad hoc projects as required
• HR’s assistant to manage interviewing, hiring and team’s staffing administration.
• Organize company event, eg. town hall, birthday party, team building…;
• Sample management (Warehouse in & out)
• Other ad hoc projects related to company mission, culture and values.

Requirements
• Bachelors’ degree or above; prefer English major or related administration major
• 1+ years working experience in assistant role to senior management;
• Outstanding interpersonal and verbal/written communication skills in both Chinese and English;
• Be open, dynamic, hands-on and time committed;
• Excellent time management, multi-tasking, and organizational skills;
• Good knowledge of MS office;
