WE ARE LOOKING FOR .....

Reporting to the Senior Manager, the Office Administration Specialist monitors document digitalization, and production & distribution of policy contract to meet the objectives of providing quality services. In addition to this, the individual drives process improvement to optimize the workflow and supports the delivery of better value and greater efficiency through the identification and elimination of unnecessary complexity and identification of better ways of working.

Roles and Responsibilities:

Monitor document digitalization process, production and distribution of policy contract to achieve service standard and continue improvement

Manage the production and distribution of policy contract to meet service level and quality requirements in compliance with internal & external benchmark and guidelines.Monitor the imaging system and relevant document processing to ensure the quality of digitalization process.Coordinate with stakeholders and service providers on new or changes of requirements, ensure compliance of the requirements within the required timeline.Manage resources to ensure the effectiveness of resources allocation.Monitor service providers and review the service level and performance periodically to ensure the service is being delivered in compliance with internal & external benchmark and guidelines.Consolidate data from multiple sources and analyze using statistical technique to generate report for management review.

Process Improvement

Analyze workflows and propose efficient alternatives, streamline workflows and processes to enhance efficiency and service quality.  Modernize the way to do business through digitalization.Improve and review control mechanism to enhance system workflows and accuracy in compliance with internal & external guidelines.Analyze production data and Service level.Write up enhancement requirements and work with relevant parties for the whole process enhancement.

Vendor Management and project management to ensure service quality and control

Review and update the BC arrangement of service providers to ensure the continuity of service provision.Prepare all meeting materials/documentation in a timely manner.Conduct RFP/ contract renewal with service providers.Handle service quality issues with users and service providers.Develop project plans and work with internal and external parties to deliver projects on time and within budget.Review the service provider performance including site visit.

Department Support

Handle and review various departmental reporting including budget report, risk and compliance report, inventory report, productivity report, audit report, etc.Review departmental access control and departmental BIA and BCP.Handle all service provider’s payments correctly & timely.Monitor document storage and conduct record management exercise in a timely manner.Support audit exercises and follow up the Information Security/audit issues.Perform other responsibilities and duties periodically assigned by supervisor in order to meet Company’s standard and guidelines and/or other requirements.

Minimum Job Requirements:

University/College graduate plus 5 years relevant experience with 2 years in supervisory level OR Form 6 graduate plus 8 years relevant experience with 5 years in supervisory levelThorough knowledge on operation system and procedureProblem solving and communication skillsGood writing skillYou are required to obtain relevant licence if your job involves in regulated activities
