As the **Office Administrator for our PICCo District Office in Deer Park** , you will play a vital role in supporting daily operations and contributing to the overall efficiency of the team. We are seeking a reliable and detail-oriented individual who thrives in a fast-paced environment and is committed to excellence in administrative support.
Key Responsibilities:
+ Provide accurate and timely administrative support using Microsoft Word, Excel, and PowerPoint, including composing and editing a variety of documents, spreadsheets, and presentations.
+ Develop and maintain a well-organized filing system—both electronic and physical—for efficient reference and quick information retrieval.
+ Assist with the planning and execution of special events, including arranging catering, securing locations, and distributing related materials.
+ Create and maintain templates for forms, letters, tracking spreadsheets, and other standard documents to improve consistency and efficiency.
+ Communicate effectively with internal staff and the public, including answering inquiries related to job opportunities and assisting candidates with the online application process.
+ Demonstrate the ability to multitask, prioritize duties, and work well under pressure to meet deadlines.
Qualifications:
+ High school diploma required.
+ Minimum of 1 year of experience in an administrative role.
+ Technical certificate in office administration is considered a strong asset.
+ Intermediate skills in Microsoft Word, Outlook, and OneNote; able to create, edit, and format documents.
+ Beginner-level skills in Microsoft Excel; able to create simple spreadsheets and edit data.
+ Basic understanding of construction industry terminology and workflows.
+ Strong verbal and written communication skills, with attention to grammar and proofreading.
+ Demonstrated service-oriented approach in interactions with internal and external clients.
+ High level of professionalism when dealing with PCL employees and external contacts.
+ Familiarity with department- or project-specific software tools.
+ Ability to handle confidential information with discretion.
+ Resourceful and curious; able to ask the right questions to get accurate information quickly.
