We are seeking a dedicated and organized Office Administrator for our Corporate Office’s business center to manage customer accounts and support our construction projects from start to finish.


This position is based in Mobile, AL and will be 100% in office with a Monday-Friday schedule 7:00 am to 3:30 pm.


Primary Responsibilities:

The Office Administrator, under the direct supervision of the President (or other manager listed above), is responsible for involvement as part of a team with all aspects of administrative and bookkeeping functions in construction company. HR, bookkeeping, and administrative support functions.  


 Specific Job Duties:

Inbound and outbound calls and/or emails daily.Customer ServiceProvide customer updates and status.Schedule meetings and appointments.Partner with HR to update and maintain office policies as necessary functions, personnel files, as required.Assist with screening and hiring process for multiple departments, as required.Assist in the onboarding process for new hires.Scheduling and facilitating orientations.Process payroll and COIs, as required. Data entryPreparation, review, and administration of subcontractor MSA’s, Purchase Orders.Send and receive Work Orders, Purchase Orders, COI and Warranties.Process, review, code and input daily outgoing invoices and incoming payments, as required. Provide support to the sales and estimating department, as required.Assist in receiving and tracking vendor/supplier preliminary notices and lien release requirements, submittals, and releases, as required.Accounts payable and receivable and collections, as required.Reconcile accounts as required.Make bank deposits, as required. Post deposits to the accounting system, as required. An ability to produce a high-volume output while maintaining an attention to detail.Process, review, code and input daily outgoing invoices and incoming payments.Collect information from Management Team for updating files.Maintain communication with project contact regarding scheduling and documentation requirements as needed.Cross train and provide back up support in the office.An ability to produce a high-volume output while maintaining an attention to detail.Additional duties related to all aspects of office administrative duties as directed by the reporting manager.


Skills/Knowledge:

Excellent verbal and written communication skills. Ability to effectively plan, organize and meet deadlines while maintaining a high level of quality.   Intermediate computer skills required. (Microsoft Suite: Word, Excel, PowerPoint, etc.)  Basic accounting or bookkeeping experience (Experience with Viewpoint, SAGE, Timberline, SAP, or similar construction platform preferred). Experience with CRM software or construction project software, preferred.

 


Education/Experience:

Bachelor’s degree in related field, preferred.  Any equivalent combination of education and experience may also be considered. 3-5 years’ experience in office support role, prior construction office experience preferred
