Office Administrator
Description 1 Reception • Responsible for giving a positive and professional first impression of Kalman Manufacturing, Inc. to all visitors, guests, vendors, customers, and the public. • Supply general information regarding the organization to those visitors • Direct those visitors to the appropriate resource, and notify company personnel of their arrival • Maintain phone system in professional and timely manner 2 Office Environment • Responsible for office supplies and their procurement • Maintains safe, organized, and clean reception and main office area • Receives, opens, sorts, and distributes mail • Responsible for distributing company documents and notices (holiday schedules, payroll checks, etc.) • Maintain and organize office files • Updates company calendar • Help with managing vendors for general office equipment (printers, etc.) 3 Customer Service • Assist the customer service/planning manager with tasks as appropriate. Examples • Scanning, closing, and filing work order information • Prepare repetitive quotes • Generate periodic reports for scrap rate, inventory levels, etc. 4 Accounts Receivable and Accounts Payable • Assist CFO with tasks as appropriate. Examples: • Process incoming and outgoing invoices • Generate periodic reports for AR/AP aging, etc. 5 Procurement • Assist the procurement manager with tasks as appropriate. Examples include • Processing POs Skills Microsoft office, Front desk, Administration, scanning, filing, Process POs, organization Top Skills Details Microsoft office,Front desk,Administration Additional Skills & Qualifications • Proficient in Microsoft Office tools. • Familiarity with Precision Machining operations is a plus. • Experience in customer service and/or related functions as well as gate keeping • Prior experienced with an ERP system Preferred. • Excellent communication skills both verbal and written • Strong interpersonal skills and good teamwork are essential. Must be able to work well with multiple personality styles at all levels of the organization. • Must have a “bring it on” attitude • Excellent time management and communication skills.
