The Office & Facilities Coordinator is responsible for the efficient and smooth operation of the office and support of leadership positions in the market. The Office & Facilities Coordinator will greet all guests, create an inviting and organized workspace, maintain all supplies, and oversee general maintenance in the Work Studio. This position will also assist with planning and hosting internal events, maintaining design library samples, managing the product loaner program, and assisting leadership positions in an executive assistant capacity as needed.
Responsibilities
+ Maintain physical space, ensuring a safe, clean, and functional environment, including daily upkeep in the work studio, meeting rooms, and kitchen.
+ Restock kitchen and bathroom supplies, run and unload the dishwasher, and fill office supplies.
+ Organize all incoming and outgoing mail/shipments for the Work Studio.
+ Schedule and maintain meeting rooms and calendar, including managing overlapping or conflicting reservations.
+ Monitor, order, and replenish office, bathroom, and kitchen supplies while seeking opportunities to create efficiency and maintain vendor contracts.
+ Partner with Marketing to order, track, and maintain promotional items.
+ Serve as the liaison with building ownership and security company to resolve any property and security issues.
+ Alert the Operations department when repairs are needed and manage general maintenance of the building.
+ Order décor, supplies, and catering for Work Studio meetings and events, set up for events, and clean up afterward.
+ Photograph, tag, and update the database with inventory of new products for the product loaner program.
+ Manage internal scheduling and track loaner product locations, communicate with clients about product locations, and conduct annual audits of product conditions.
+ Order finish samples and organize within the design library, ensuring it is neat and organized daily.
+ Manage and receive vendor-owned samples, communicate with vendors for drop-offs and pick-ups, greet vendor representatives, and schedule product updates or presentations.
+ Coordinate business meetings and events, organize travel plans, assist with expense management, and maintain administrative files, documents, and records for leadership positions.

+ Proficient in Microsoft Office Suite with the ability to learn in-house programs.
+ Reliable transportation for travel between offices or to pick up supplies/products.
Additional Skills & Qualifications
+ High school diploma, required.
+ 1+ years of experience in a Customer Service/Hospitality role, preferred.

Pay and Benefits
The pay range for this position is $24.00 - $24.00/hr.
