Job Description
We are seeking a dedicated Office Administrator to join our team in North Haven, CT. This role involves interacting with customers to provide information regarding products and services, handling and resolving complaints, and supporting various administrative functions. The position reports to the Customer Service Manager and operates on a Monday to Friday, first shift schedule.
ResponsibilitiesDirect customer contact via phone, fax, mail, or electronic mail regarding inquiries, order entry, pricing, product availability, scheduling, delivery dates, packaging, and shipping.Process warranty transactions and inform customers of current promotions and specials.Maintain sales records including invoices, credit information, and shipping records.Coordinate with inventory control, production, and shipping personnel to confirm delivery dates or track missing/delayed shipments.Consult with outside sales representatives and managers on customer matters.Communicate effectively with customers, outside salespersons, and internal personnel.Work with the accounting department on receivables, collections, and disputing fines from large retailers.Manage the RGA process due to customer complaints.Maintain proficiency in the use of Microsoft Office (Excel, Word) and Internet access.Keep equipment and work area clean and orderly, following prescribed safety rules and regulations.Perform other related duties as required or directed.Essential SkillsExcellent customer service skills.Experience with ERPs.Strong attention to detail.High School Diploma or GED.Proficiency in Microsoft Office (Excel, Word).Additional Skills & QualificationsProblem-solving skills: Identifies and resolves problems in a timely manner.Technical skills: Assesses own strengths and weaknesses and shares expertise with others.Strong written communication: Writes clearly and informatively; able to read and interpret written information.Quality management: Looks for ways to improve and promote quality; demonstrates accuracy and thoroughness.Organizational support: Follows policies and procedures.Adaptability: Adapts to changes in the work environment.Attendance/Punctuality: Consistently at work and on time.Dependability: Follows instructions, responds to management direction, takes responsibility for own actions, commits to long hours of work when necessary to reach goals.Initiative: Seeks increased responsibilities.Quality and Quantity: Demonstrates accuracy and thoroughness, meets productivity standards, completes work in a timely manner, strives to increase productivity, and works quickly.Safety and security: Observes safety and security procedures, reports potentially unsafe conditions.Experience with AS400 is helpful.Familiarity with the EDI program (Electronic Data Interchange) for Cowles Products is a plus.Work Environment
This role is based in an office setting located in a modern 220,000 sq. foot facility in North Haven, Connecticut, which houses our factory, laboratory, and office space. The work environment is conducive to productivity and follows strict safety and security procedures. The dress code is business casual, and the work hours are Monday to Friday during the first shift.
Pay and Benefits
The pay range for this position is $50000.00 - $56160.00/yr.
