As part of Detection and Measurement, Aids to Navigation, including Flash, Sabik Marine and Sealite, are leading providers of lighting and navigational aids for the marine, obstruction, and airfield end markets. Offering the broadest portfolio of solutions, we help people transverse the world safely by air, land, and sea.
This position acts as a liaison between customers, vendors and internal stakeholders to triage product and/or service-related queries and perform front office duties. This role works closely with various internal teams to ensure timely response to incoming inquiries, ensure a high level of professionalism and excellent service standards for our customers, vendors and employees. The position is responsible for a wide variety of clerical office duties in support of company administration. This includes coordinating and communicating office activities, coordinating accounts payable, greeting and screening visitors, answering and referring inbound queries. The Office Administrator will also be responsible for administering company correspondence.
PRINCIPAL DUTIES AND RESPONSIBILITIES
1. Provide administrative support to the leadership team, as required.
2. Coordinate various office tasks such as, incoming/outgoing mail, travel account management, miscellaneous data entry, document preparation, purchase requests, etc.
3. Administer the accounts payable SoD process
4. Maintain inventory of office, kitchen, & cleaning supplies.
5. Update and maintain sales & vacation calendar and current events.
6. Administer the communication system, setting up new employees, maintaining phone lists, etc.
7. Manage relationship with various vendors, contractors, and service providers for office & building maintenance activities.
8. Draft general forms, letters, reports, and memos as necessary.
9. Assist with employee orientation and training.
10. Photocopy, scan and post documents as required.
11. Organize, maintain, and coordinate office records and files in their proper locations.
12. Accurate and appropriate filing of correspondence, cards, invoices and receipts
13. Locate filed materials upon request, ensuring that materials are given only to authorized parties.
14. Where necessary, assist in the compilation of data for various reports.
15. Coordinate the logistical aspects of departmental programs, such as meetings, seminars, workshops, special projects, and events.
16. As a front-line worker, present a positive and professional image of the organization to all visitors, suppliers, inquiries, and other interactions.
17. Perform other duties as required.
KNOWLEDGE, SKILLS & ABILITIES
1. Quality and timeliness of all incoming calls
2. Responsible for all incoming/outgoing mail, deliveries etc.
3. Responsible for all inventory for the office, kitchen and cleaning supplies
4. Ensure the phone system is set up and working correctly
5. Ensure all new hires are set up for onboarding with the leadership team
EDUCATION AND EXPERIENCE
Required Education / Experience
1. High school diploma, GED or other equivalent.
2. Post Secondary Degree or Diploma in Finance or a related field.
3. Experience as a Finance Assistant preferred.
4. Excellent written and verbal skills in English and Finnish or Estonian
5. Advanced proficiency in Microsoft Office suite
6. Experience of working in various ERP environments, SAP preferred
7. Excellent time management skills.
8. Highly organized.
9. Service oriented.
10. Able to generate or use different sets of rules for combining or grouping things in different ways.
11. Excellent problem solving skills.
