We are seeking a motivated and detail-oriented Junior Admin Support professional to join our team in Brussels. This role is an excellent opportunity for someone starting their career in administration and looking to grow within a dynamic and professional environment. As the Junior Admin Support, you will play a key role in ensuring the smooth operation of an office of 20 employees and providing seamless support to the Executive Assistant to the CEO.

Responsibilities

Reception Duties:

Act as the first point of contact for visitors, clients, and employees.Manage the front desk by answering calls, handling correspondence, and directing inquiries appropriately.Maintain a welcoming and professional reception area.

Office Coordination:

Ensure the smooth day-to-day operations of the office, including monitoring and ordering office supplies, and liaising with service providers.Support in the organization of internal events, including catering and logistics.Assist with maintaining a clean and functional office environment, coordinating repairs and maintenance when necessary.

Administrative Support:

Provide administrative assistance to the Executive Assistant to the CEO, including scheduling meetings, preparing documents, and managing travel arrangements.Assist in the preparation and formatting of presentations, reports, and other materials.Handle data entry, filing, and document organization to ensure records are up to date and accessible.

Communication & Coordination:

Act as a liaison between internal teams and external stakeholders, ensuring timely communication and follow-up.Coordinate and support team activities, including distributing communications and collecting feedback when required.

Other Duties:

Undertake additional administrative tasks as needed to support the Executive Assistant and broader team.Contribute to fostering a positive office culture and team spirit.

Basic Qualifications

Strong organizational and time-management skills.Excellent verbal and written communication skills in English; Dutch mother tongue and proficiency in French is an advantage.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).Ability to manage multiple tasks and prioritize effectively.Proactive, hands on, detail-oriented, and capable of working independently.
