Job Description
Performs administrative functions in the areas of Contract Administration, Procurement and Payables, Inventory, Cross Area Support, Budgeting and Forecasting, Metrics, and Training and Support. More independent, but still requires supervision and work to be reviewed. The Field Office Administrator II is responsible for supporting a particular region, performing administrative functions in areas of contract administration, procurement and payables, inventory, cross area support, budgeting and forecasting, metrics, training and support activities and compliance. The ability to learn quickly and thrive in a team environment are keys to success!
ResponsibilitiesPerforms tasks related to office administration, including mail coordination, scheduling meetings, event coordination and catering, and ordering materialsEvaluates department needs, reviews vendor costs, discounts and contractsReviews demand patterns, weeks of supply, safety stock, and inventory turnover to establish optimum holding costsResponds to standard requests from our internal/external customers in a timely and efficient mannerCompiles reports, analysis, and drawings from data given from a variety of sourcesMonitors cost responsibility reports and works to correct discrepanciesCoordinates building maintenance, including landscaping, snow removal, and collaborating closely with building ownershipHandles fleet coordination, including vehicle orders, dealership communication, and repairsHandles PSM and WIMS data retention programsMakes recommendations to improve work processes across the Operating AreaManages United Way campaign and other charitable efforts for the local areaHelps coordinate and attends community functionsParticipates in budgeting and forecasting working, including processing invoices, tracking purchasing orders for accruals, reviewing costs on variance report and making any necessary coding changes or deletions, reviewing budget and monthly costs with leadership and Budget Analyst, describing monthly expenses and variances, partnering with Coordinator of Maintenance and Supervisor, if applicable, to create annual budget (with support from Budget Analyst)Other duties as assignedEssential SkillsHigh school diploma or GEDMinimum one (1) year experience in general office clerical/administrative supportStrong MS Suite user experience (PPT, Excel, Word, Outlook)Proficient knowledge of Microsoft Office Application and PC skillsProfessional demeanor and strong interpersonal skillsQuick learner who can work in a fast-paced team environmentStrong teammate who can build collaborative and positive partnerships with othersAdditional Skills & QualificationsExperience in fleet management, expense report submittals, procurement, budgeting, and forecastingWork Environment
M-F 8am-4:30 or 8:30-5pm. Travel to San Antonio one day per week.
Pay and Benefits
The pay range for this position is $18.00 - $21.00/hr.
