Primary Responsibilities

The Office Administrator is a highly visible role that is responsible for managing the supportive services and environment at KeHE’s corporate headquarters in Naperville, IL.  The goal is to ensure we create a great experience, productive environment, and professional atmosphere for our employees and visitors. The ideal candidate will be a flexible problem solver, highly organized and detail oriented with professional communication and relationship building skills. The ability to multi-task and handle unique or unexpected tasks and situations are essential to the position.

Essential Functions Front Desk & Visitor Management: Serve as the first point of contact for visitors, providing a warm and professional welcome; respond to inquiries or route them to the appropriate person; manage visitor access, issue guest passes, and ensure all visitors are properly directed to their intended destinations.Mail & Deliveries: Handle incoming and outgoing mail, packages, and deliveries, ensuring timely distribution; prepare shipments using multiple carriers as needed, including tracking and coordination.Office & Facilities Management: Maintain the cleanliness and organization of shared office spaces, including conference rooms, kitchens, and coffee stations; monitor and replenish office and kitchen supplies daily to ensure employees have necessary resources; coordinate service and repairs for office equipment, including printers, copiers, and other essential tools.Security & Safety Compliance: Serve as a backup liaison between the company and the property manager to ensure the office is safe, secure, and well-maintained; enforce office security policies, manage key card access, and oversee visitor log procedures.Employee Engagement & Internal Communications: Maintain office bulletin boards and digital communication channels with company updates and event flyers; collaborate with internal teams to communicate announcements and ensure employees stay informed.Assist in planning and executing employee events, office activities, and celebrations.Vendor & Expense Management: Build and maintain relationships with vendors, ensuring timely and efficient procurement of office supplies and services; track and reconcile expenses related to office facilities and employee experience initiatives.Administrative Support: Keep accurate records of desk and office space assignments, updating seating charts and layouts as needed; support HR and Facility Coordinators with administrative tasks, special projects, and office initiatives.Other duties as assigned.

 

 

SKILLS, KNOWLEDGE AND ABILITIES:

Excellent written and verbal communication skills and demonstrated ability to communicate ideas, instructions, and information in a clear, concise manner.  Computer experience required specifically with Zoom, Microsoft Teams, Outlook, PowerPoint, Word, and Excel.Ability to handle confidential information.Demonstrates a positive attitude and actively works for a positive environment.Demonstrates a sense of urgency to achieve goals and requirements.Attention to detail and ability to recognize opportunities and pursues them without being directed to do so.Able to complete multiple tasks on a timely basis through effective prioritization.Demonstrated problem identification, problem reporting, and problem-solving skills. EDUCATION AND EXPERIENCE:

High School Diploma or GED required. Bachelor’s degree preferred.2 years of administrative experience preferred.

Must be able to carry, lift and/or move up to 75 pounds.
