Job Description

Our Office Administrator is a crucial role responsible for managing the day-to-day administrative operations within the organization. This position involves coordinating office activities, supporting various departments with clerical tasks, and ensuring efficient office management. The Office Administrator is also in charge of managing correspondence, organizing files, scheduling meetings, and maintaining a professional office environment. Additionally, this role requires liaising with external partners and suppliers, managing office supplies, and assisting with special projects as needed.

Qualifications

Manage day-to-day administrative operations in the office Assist with Recruiting, Hiring and training of local employees Daily Management of timekeeping entries, payroll and assisting with issues Handling HR related issues, communication with corporate and file management Coordinate office staff activities to ensure maximum efficiency Handle phone calls, correspondence, and filing systems Organize meetings, schedules, and maintain the office calendar Manage travel arrangements and accommodations for staff Oversee office supplies inventory and place orders when necessary Ensure the office environment adheres to health and safety policies Assist in the preparation of regularly scheduled reports Maintain a clean and enjoyable working environment Provide general support to visitors and assist in handling customer inquiries Liaise with facility management vendors, including cleaning, catering, and security services Support budgeting and bookkeeping procedures for the office Coordinate with HR to manage office policies as necessary Participate in the coordination of company-wide events or conferences Implement and maintain procedures/office administrative systems Minimum age of 18 years old At least 2 years of experience in office administration or a similar role Proficiency in Microsoft Office Suite and experience with office management software Excellent organizational and multitasking skills Strong communication and interpersonal abilities Detail-oriented with a proactive approach to problem-solving Ability to work independently and as part of a team in a fast-paced environment Comfortable working with computers, mobile devices, and tablets Ability to pass a drug screen Eligibility to acquire needed credentials and clearances (FAA, TSA, Port Authority, U.S. Customs and U.S. Postal- as applicable) Must be able to read, write and speak English Physical activity may include: Position is generally sedentary, sitting for long periods of time, with occasional mobility in an office environment Ability to lift up to 25 pounds Be able to hear and respond to the spoken voice and to audible alarms generated by an office environment Ability to access and interpret information in print and electronically, including the use of adaptive technologies or methods as necessary Effectively communicate with colleagues and clients, both in-person and through electronic means Tasks may involve repetitive motions of the wrists, hands and or fingers due to continuous typing or writing
