Office and Engagement administrative tasksServe visitors by greeting, welcoming, and directing them appropriately.Notify relevant employees when visitors arrive.Answer visitors’ questions, calls, and emails, and provide them with the relevant information.Follow security procedures, such as monitoring the logbook and issuing visitor badges.Organize the reception area while complying with office procedures, rules, and regulations.Keep a record of office supply inventory and expenses.Sign for deliveries and ensure all mail and packages are distributed accordingly.Organizing meetings, supporting communication within the teams,Engagement initiatives such as for example: volleyball tournament, well-being meetings, celebrating Halloween, Christmas meeting etc.Taking care of event calendarManage the cloudbooking systemOrganizing the external and internal meetings (i.e., town halls), preparing agenda for business visits in the Warsaw office.Budget tracking and managing orders/invoices.Booking and logistics of external business events (e.g. dinners)Support BBS visitors (email confirmation of travel details, ordering taxi, booking conference rooms in the office, coordinating IT support to ensure facility set up, ad hoc support and answering BBS guest admin related questions)Monitoring office and food supplyOther tasks related to office space and supply maintenance (e.g. completing onboarding packages, printing materials, preparing labels & labelling, stocking tea, coffee and milk).

Skills and Requirements

- Proven experience as an Administrative Assistant, or Office Admin Assistant

- Knowledge of office management systems and procedures

- Working knowledge of office equipment, like printers

- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)

- Excellent time management skills and the ability to prioritize work

- Attention to detail and problem solving skills

- Excellent written and verbal communication skills

- Strong organizational skills with the ability to multi-task

- Fluent English
