OVERVIEW:
The Office Assistant will provide general support to the Director of Business and Silicon Valley Administrators.
DUTIES AND RESPONSIBILITIES:
Assist the Director of Business in monitoring internal accounting systems across departments Prepare and submit monthly financial reports to Divisional Headquarters (DHQ) Track income and expenses for contracts and grants Enter payroll data weekly and process accounts payable Ensure adherence to Salvation Army financial policies and inventory controls Manage petty cash, reconcile and replenish funds monthly Oversee administration safe contents and access control Process and log Mail Appeal, White Mail, and Gift-in-Kind donations Support daily, monthly, and yearly accounting tasks, including payroll processing Process and deposit all income from various sources Issue receipts and prepare income reports for DHQ Ensure income is counted and recorded per Salvation Army policies Verify and process invoices, reimbursements, and financial assistance Prepare check requests and allocate funds to appropriate accounts Submit approved check requests to DHQ Finance for payment Maintain ongoing communication with DHQ Finance Update PTM spreadsheet Maintain volunteer files and assist with orientations Provide support to the volunteer coordinator Other related duties as requiredEDUCATION AND EXPERIENCE:
Experience in bookkeeping, management, or a related field (required) Valid driver’s license (required) Associate’s degree in accounting, business, or related field (preferred) Experience with Microsoft programsSKILLS AND ABILITIES:
