Office Assistant
Please describe the objective and value contribution of the function briefly and concisely. The holder of this position is responsible for: + providing administrative support for the purpose of a smooth operation of the company, particularly emphasizing on managing the documents flow and booking business travels. The Assistant supports the daily work of the SSC Director. **Tasks*** Tasks performed regularly which form the essential characteristics of the position. + Oversee and support all administrative duties in the office and ensure that office is operating smoothly + Manage office supplies inventory and place orders as necessary, maintain the office condition and arrange necessary repairs, liaise with facility management vendors, including cleaning, catering and other external vendors. + Overseeing and agreeing contracts and providers for services including security, parking, cleaning, catering, technology, office vendors, service providers and office lease + Assist with office layout planning and office moves. + Develop office policies and procedures, and ensure they are implemented appropriately + Manage office budget + Provide other administrative support, including scheduling group meetings, doing research, and creating reports, helping with the visit’s planning and organizing etc. as well as provide general support to visitors. + Support in-house or off-site activities, like parties, celebrations and conferences + Supporting the travel management topics, address employees queries, updating and communicating policies etc. Responsible for the communication and management of Concur, Amex and Neo. + Identify opportunities for process and office management improvements, and design and implement new systems + Build and maintain excellent working relationships with internal support departments and external stakeholders. + Participates and presents at meetings with internal and external representatives. + Assist with various projects as assigned Quality, Legal & Compliance + Follow and comply with all relevant FME policies, guidelines, manuals and SOPs in the version as amended from time to time (“FME Policies”), + Keep yourself updated about the current version of the FME Policies that are relevant for your role and integrate corporate values in daily business, + Compliance with SSC’s internal procedures and instructions.
