Office Assistant
Title: Office Assistant Department: TRiO Reports To: Director TRIO Programs Position Type: Staff Position Summary: The Office Assistant will provide support across the program's scope to meet the program's needs and service students. Saturdays and off-hours work is required. The Office Assistant will report to the Project Director. Essential Functions: - Assist with office duties, including, but not limited to, filing, making phone calls, operating office machines, and organizing files and paperwork. - Facilitate arrangements for meetings and events, including room reservations, parking reservations, food orders, etc. Provide follow-up to ensure requests are fulfilled. - Enter data into NJIT’s integrated systems including NJIT’s financial record-keeping system and the department's student database. - Schedule appointments and meetings, maintain calendars, and issue reminders. - Assist with program marketing by utilizing social media and email campaigns. - Make visits to classrooms to determine the needs of the instructors and students. - Complete errands and communicate concerns to the appropriate staff member. - Perform other duties as assigned by the Director. Additional Functions: Occasionally the candidate may be asked to supervise students and/or escort students from one place to another. Prerequisite Qualifications: - High school diploma. - 0-1 years of experience working in an office setting. - Demonstrate proficiency with the Microsoft and Google Suites. - Excellent organizational skills. - Excellent written and verbal communication skills, and basic social media skills. - Work on Saturdays and during off-hours is required. - At the university's discretion, the education and experience prerequisites may be exempted where the candidate can demonstrate to the satisfaction of the university, an equivalent combination of education and experience specifically preparing the candidate for success in the position. Preferred Qualifications: - Certificate in Office Management or a related field or an Associated degree in Business Administration or a related field. - Experience working with TRIO Programs and underserved student populations.
