Position highlights
As an Office Assistant in the Health Services Unit at Robinson Correctional Institution, you will have the opportunity to:
+ Support Health Services staff in enhancing clinical and medical services for the inmate population;
+ Answer phones and assist with payroll-related tasks;
+ Maintain records for compliance with the Consent Decrees;
+ Assist with data collection, documentation, and record maintenance;
+ Order office and medical supplies for both staff and inmates;
+ Track and arrange for the maintenance of medical equipment;
+ Provide administrative support to the Regional Chief Operating Officer(RCOO);
+ Assist with billing, receipts, and other functions;
+ Fax/scan confidential information;
+ Other duties as assigned.
This position is full time on first shift, Monday through Friday, from 8:00 AM until 4:30 PM.

The Carl Robinson Correctional Institution is a level 3 medium-security facility. It houses sentenced offenders and provides a great emphasis on programming and education.
The Robinson Correctional Institution offers a wide assortment of programming for inmates including intensive in-patient substance abuse treatment and a full menu of educational and vocational programming including culinary arts, machine tooling, small engine repair and community college courses.
The facility participates in the Town of Enfield Adopt A Spot program, provides community service to several towns and assists several municipal and non-profit agencies in printing flyers and related material.
The Willard-Cybulski Correctional Institution and the Cybulski Community Reintegration Center protect the public and staff by providing a safe, secure and humane environment where offenders participate in a mandatory structured process that instills a high standard of accountability and an expectation of responsibility on the part of the offender. Privileges and awards are earned and any offender who fails to meet the set standards will engage in a process of corrective action.

PURPOSE OF JOB CLASS (NATURE OF WORK)
In a state agency this class is accountable for independently performing a full range of general clerical functions or for carrying out responsibility for the flow and completion of clerical work in an assigned area.
EXAMPLES OF DUTIES
Performs the full range of general clerical duties as described in the following areas:
+ TYPING:
+ Types a variety of materials in relation to other duties or as assigned;
+ Enters and retrieves data on computers, tablets, and other electronic equipment.
+ FILING:
+ Sets up and maintains office procedures, filing and indexing systems and forms for own use.
+ CORRESPONDENCE:
+ Composes routine correspondence.
+ REPORT WRITING:
+ Compiles and generates recurrent technical, statistical or financial reports requiring judgment in the selection and presentation of data (format).
+ INTERPERSONAL:
+ Provides general information and referral services in response to citizen complaints or questions regarding an agency's services or authority;
+ Responds to inquiries from other work units or departments/agencies;
+ Applies agency policies and state statutes and regulations in determining case status or responding to requests for procedural assistance;
+ May lead lower level employees in carrying out assigned clerical functions.
+ PROCESSING:
+ Maintains calendars of due dates and initiates recurring work or special clerical projects accordingly;
+ Processes a variety of documents in determining routine case status;
+ Exercises discretion in choosing appropriate follow through procedures within defined guidelines including assembling and reviewing incoming materials for accuracy, completeness and conformance to established guidelines and agency policy and procedures, verifying information through use of internal resources and contacts with sender and other work units and soliciting additional information as required by correspondence;
+ Processes purchase requisitions/purchase orders for subsequent action;
+ Prepares payment lists and billing invoices;
+ Receives shipments of materials and matches/verifies shipment or billing invoices against original purchase orders;
+ Maintains files, journals or account ledgers by posting credits, expenditures, interest, etc.;
+ Figures payments, costs, discounts and adjustments using prescribed methods and formulas;
+ Receives monies in various forms such as cash, checks and money orders and prepares for deposit;
+ Maintains inventory and orders supplies;
+ Uses a variety of electronic equipment to perform job functions.

KNOWLEDGE, SKILL AND ABILITY

MINIMUM QUALIFICATIONS - GENERAL EXPERIENCE
Two (2) years of general clerical work experience.
MINIMUM QUALIFICATIONS - SUBSTITUTIONS ALLOWED
College training may be substituted for the General Experience on the basis of fifteen (15) semester hours equalling one/half (1/2) year of experience to a maximum of two (2) years.
PREFERRED QUALIFICATIONS
+ Experience working in a hospital, urgent care center, clinic, or medical office;
+ Experience maintaining health records in accordance with HIPAA and other confidential documents;
+ Experience with MS Word, creating letters, agendas, memos, and other business communications;
+ Experience with MS Excel, creating spreadsheets, utilizing formulas, functions, and filters;
+ Experience with MS Teams, scheduling and participating in meetings;
+ Experience in completing work while under the restraints of a deadline
+ Experience supporting multiple people, units and varying leadership roles;
+ Experience accurately inputting and managing data and using databases to generate reports;
+ Experience maintaining paper and digital files, including organizing, tracking, and storing files;
+ Experience proofreading documents for grammatical errors;
+ Experience working in a confidential environment;
+ Experience with high volume data entry.
SPECIAL REQUIREMENTS
Persons having responsibility for supervising or observing the behavior of inmates or custodial individuals will be required to possess a high school diploma or General Educational Development (GED) certification by the time of permanent appointment.
