Reporting to the Cluster Accountant, the Office Assistant will be responsible for ensuring cleanliness, hospitality and order at the World Vision, Mokhotlong office.
Maintain hygiene and cleanliness of offices and surroundings (50%)
Clean office desks and chairs on a daily basis;Throw out trash safely and dispose of unused or unnecessary items that cause untidiness;Refill air-fresheners and toilet rolls in the restroom for staff convenience;Wash plates and staff lunch box items,;Sweep and mop floors and office external surroundings to eliminate dirt and keep the office fresh.Track and replenish office supplies (20%)
Update supervisor on the levels of office supplies stock and advise for quick replenishmentsRecord incoming and outgoing items for stock movement control purposesCheck for expiry dates on items on a weekly basis and update on products nearing expiryDispose of expired products to ensure staff do not consume products that have exceeded their shelf life.Stack items in the store room safely for easy access and visibilitySupport office administration (10%)
Assist office with checking condition of assets, building and surroundings that may need attention and regularly report on conditions of assets, equipment and office building to the supervisor.Visitor hospitality (10%)
Assist with preparations for upcoming visitors by ensuring that the boardroom and restrooms are good for useWelcome visitors and assist with refreshments and other requests during meetingsFilling (10%)
Assist with filing of office records and maintenance of office cabinets for incoming and outgoing files.Rearranging filling cabinets, boxes, files and office supplies regularly to allow ease of access*Perform any other duties as assigned.
