Core Responsibilities:
As an Office Associate I, you will process a high volume of payments. You will work independently in a high volume, fast-paced environment. Your typical duties will include:
• Reviewing payments received and process payments out to the correct person while ensuring compliance with applicable procedures, policies, federal requirements and state statutes.
• Responsible for answering telephones, photocopying, faxing and delivering faxes as needed and processing incoming mail for OCFS.
• Responsible for correctly maintaining files and records, including records transferring in and out of the office, and records send to archives. A master list of all case records must be kept and updated on a regular basis.
• Responsible for maintaining office supplies and ordering new supplies as necessary.
• Responsible for entering data into Katahdin.
Minimum Qualifications:
To qualify, your background must include training, education, or experience in office and administrative support work that demonstrates:
• Competency in applying a solid knowledge of modern office practices to perform complex office support tasks that are similar in nature.
• The ability to use independent judgment in handling exceptions to established work assignments, priorities, and schedules.
The background of well-qualified candidate will demonstrate experience in the following areas:
1. Prior experience working directly with children and families in a social services setting.
2. Skilled in the use of standard workplace applications (MS Word, EXCEL, Outlook, SharePoint, etc.).
3. Adapting to emerging demands, special requests and evolving processes.
4. Detail-oriented.
5. Excellent customer service skills, including effective customer communication skills.
