OVERVIEW:
The Department of Administrative and Financial Services (DAFS) Office of Information Technology (MaineIT) provides information technology support to over 13,000 employees. MaineIT oversees large scale enterprise applications that support the critical and diverse business needs of the State of Maine and its agencies.

JOB DETAILS:
Office of Information Technology, Radio Operations, is recruiting to fill an Office Associate II position. This position works on-site at 66 Industrial Drive, in Augusta, Maine. This is not a hybrid or remote position. This position is not eligible for visa sponsorship or STEM OPT extensions.
This position requires significant direct contact with members of the public and other agencies in person and by phone. The position also performs routine, varied office support tasks often requiring the operation of technical office equipment as well as knowledge of Microsoft applications. Responsibilities will require making some independent judgment in prioritizing assignments.
REPRESENTATIVE TASKS:
+ Providing clerical functions to support OIT employees and contractors; and to assist the Directors, Managers, and Team Leads.
+ Providing customer service by answering and routing calls to appropriate staff.
+ Processing mail, ordering supplies, receiving and processing deliveries.
+ Assist in processing Assyst tickets.
+ Applying proper coding to invoices.
+ Attending meetings; prepares agendas, types minutes, and arranges schedules.
+ Receiving and escorting customers from the lobby area to a meeting room or office.
+ Assisting Radio Operations employees with completing travel and expense vouchers in collaboration with OIT’s Admin Team.
+ Generating received reports to assist Finance staff with documenting goods received.
+ Assisting with accounting support in relation to procurement tasks.
+ Booking hotels with state credit card for in state travel for Radio Operations staff, when applicable.
+ Working collaboratively with the OIT Admin Team to ensure processes are followed for various transactions such as performance management forms, recruiting, Docusign, etc.
MINIMUM QUALIFICATIONS
Training, education, or experience in office and administrative support work that demonstrates:
+ 1) competency in applying a solid knowledge of modern office practices to perform complex, varied office support tasks, and
+ 2) the ability to use independent decision-making on the appropriate processes to follow, information to process, and actions to take in accordance with standard procedures. All positions in this classification assume the qualifications of: Office Assistant I, Office Assistant II, and Office Associate I.
Preference may be given to applicants who also possess:
+ Experience using Microsoft Word, PowerPoint, Excel and Teams
+ Experience using Microsoft Outlook for scheduling meetings
+ Experience in providing excellent customer service
+ Experience using Advantage, the state’s accounting system
+ Experience collaborating with a diverse group of individuals
+ Working and feeling comfortable in a vehicle garage setting
