Hiring Unit:
Anatomy and Cell Biology

Position Summary:

Under the direction of the immediate supervisor, provides administrative and secretarial support for administrative and student affairs activities in the Department of Anatomy & Cell Biology. Participates in ensuring the smooth functioning of the unit's operations. Acts as resource person for students, staff and faculty regarding policies and procedures. Edits documents for grammar and accuracy. Assists with event planning and front-line office duties as needed.

Major Duties & Responsibilities:

Responds to inquiries from students, staff and faculty regarding academic and administrative policies and procedures by email, in person and on the phone. Resolves problems within area of responsibility. Consults relevant documentation and liaises with appropriate resource persons to obtain and provide information.Participates in ensuring the smooth functioning of the unit. Collects and presents factual information relating to area of responsibility. Collaborates with supervisor and other staff in establishing work priorities. Follows-up on and ensures appropriate implementation of decisions made by supervisor.Schedules meetings and events, contacts participants and books rooms. Assists with preparation of agenda. Attends meetings, takes minutes, and follows up on decisions within area of responsibility.Uses a variety of software. Maintains filing system and ensures accurate record keeping.

Other Qualifying Skills and/or Abilities:

Previous office and/or student affairs experience is an assetDemonstrated ability to communicate clearly and in a professional manner in writing, in person and over the phoneProven organizational skills and ability to meet deadlinesAttention to detail and proven ability to proofread and edit correspondence and other material using appropriate spelling, grammar and punctuationExperience with website updates (Drupal) and social mediaFamiliar with Word, Excel, Outlook and MS Teams; experience with Banner an asset

Estimated Number of Work Hours per Week:

28 (Part time)

Knowledge of French and English: McGill University is an English-language university where day to day duties may require English communication both verbally and in writing. The level of English required for this position has been assessed at a level # 3 on a scale of 0-4

Minimum Education and Experience:

High School Diploma 2 Years Related Experience

Hourly Salary:

(AMUSE C) $20.00
