Location: Albany, NY Category: Staff Positions Posted On: Fri Feb 28 2025 Job Description: General Responsibilities: Under the supervision of the Department Chair, the full time Office Coordinator oversees and coordinates all office procedures and other tasks as assigned by the Department Chair for the School of Management (SoM). In this position, the Office Coordinator will provide support for our three graduate programs - Masters of Business Administration (MBA), Organization Management (MS), and Health Services Administration (MS) as well as our Undergraduate Programs - Business Administration (BBA/BS), and Sport and Recreation Management (BS). General Administration: + Support the Chair by setting up meetings, reserving rooms, returning phone calls and collecting materials from faculty and staff as needed. + Develop adjunct and overload rosters three times a year, prepare contracts, and process new hires for all adjuncts. + Input a yearly teaching schedule provided by the Chair into scheduling software; provide updates and changes department chairs. + Maintain the records of SoM students. + Assist with Academic Standards Enforcement. + Monitor SoM Graduate Research Assistant hours and duties. + Assist in faculty and staff searches: Process candidate applications, arrange interview schedules, and facilitate the processing of all required paperwork. + Event Planning - Assist the Chair and Program Directors with various events, including but not limited to: Annual Employer Panel, Student Success Events, Lunch & Learns/Visiting Speakers, Sigma Beta Delta (annual induction process and plan the ceremony). + Attend student presentations and capstone projects in order to provide feedback. + Provide clerical and administrative support for the Chair. Finance: + Monitor the department budget for accuracy and compliance. + Process purchasing paperwork for office needs, all SoM travel requests, grant budgets, etc. + Perform all the department ordering of supplies, equipment, etc. Accreditation: + Work with the Department Chair and Program Directors to maintain and reapply for accreditation during each year and 5-Year cycle. + Collect data and required information for accreditation from faculty, staff and adjuncts. + Run the Peregrine Exam and Exit Survey each semester; analyzing the information for accreditation. + Collect and report on Rubrics for all capstone projects. + Facilitate needs of accreditation; make all arrangements for accreditation site visits. + Collect, organize, and store files on Faculty performance, committee work, and faculty load. + Assist with all program review and accreditation reporting. The estimated wage is $18.30 per hour for 37.5 hours per week for 52 weeks.
