Office Coordinator

As the Office Coordinator, you will be responsible to coordinate the daily activities of the medical office by coordinating office workflow. Processes and obtains all insurance authorizations and referrals to ensure reimbursement for all services rendered. Manage communication and inquiries from referral sources, clinicians, and patients, insurance representatives/case managers regarding insurance coverage, benefits, and authorizations. Communicating excellent bilingual skills for patients, professional and ancillary departments as needed. The ideal candidate will be caring, compassionate and be able to put the patients at ease using their excellent communication skills.

DUTIES AND RESPONSIBILITIES: 
•    Recording patient interview, history, and chief complaint, verifies insurance eligibility, and collects patient copays.
•    Scheduling appointments, answering incoming calls, and retrieving voicemails.
•    Performs all department clerical functions including but not limited to answering phone calls, faxing, filing, copying, scanning, as well as discharge functions.
•    Manages office supplies and ensures stock is current, appropriate, and par levels maintained. 
•    Performs other duties as assigned that affect the upkeep of patient charts and the flow of patient care.
•    Collect Copayments and balance at the end of the day
•    Performs all registration, admission, and discharge functions per policies
•    Maintains an in-depth expertise of and serve as a centralized resource for insurance referral and authorization requirements, keeping the clinic informed of changes. 
•    Contacts insurance companies to obtain referrals and prior authorizations. 
•    Assist Front Desk Coordinator I and II with operational issues. Serves as a Primary Front Desk Coordinator I and II Preceptor and Mentor.  Assists with orientations and provides input to Manager for performance evaluations.
•    Acts as an EMR Superuser/Subject matter expert regarding EMR system. Demonstrates thorough knowledge of the system and how to document and schedule appropriately.
•    Able to effectively de-escalate conflict independently, serves as a point of contact for service recovery
•    Serves as the primary contact for insurance carriers, billing, and case management.


EDUCATION AND RELATED EXPERIENCE:
Required:
•    High School diploma or GED.
•    Office Coordinator or similar role with a minimum of relevant two years’ work experience.
•    Demonstrated strong communication, organizational, and interpersonal skills.
•    Demonstrated ability to work well as a member of a team.
•    Demonstrated strong Computer skills.

Preferred:
•    Previous experience as a Front Desk Coordinator I or II.
•    Medical Assistant 
•    Previous experience in an ambulatory or specialty practice setting.
•    Bi-Lingual speaking, Spanish and English.
