This is an office-based position in Bangalore, India.
**Purpose and Scope:**
Office Coordinator will support the Site Lead in the organization and facilitations of operations and activities . This role is pivotal in ensuring that the site runs smoothly and efficiently, supporting various business functions and facilitating seamless communication across departments. The site coordinator should be knowledgeable about the business.
**Essential Job Responsibilities:**
+ Project Management: Organize and facilitate projects within the Site, track and report progress and support team members as needed.
+ Public Interaction: May receive guests and visitors and be able to welcome, greet and respond to their requests and needs.
+ Administrative Support: Provide administrative support to the Site Lead, including scheduling meetings, managing correspondence, and maintaining records. The coordinator will need to work in close collaboration with other functions on specific topics.
+ Coordination: Coordinate with various departments to ensure that their needs are met and that there is a smooth flow of information and resources across the site.
+ Event Management: Plan and execute site-wide events and meetings, ensuring all logistical details are handled efficiently.
+ Vendor Management: Liaise with external vendors and service providers to ensure the timely delivery of services and supplies Manage PO and goods received process and work with procurement business partner to ensure policies are followed. Build relationship with local vendors like catering, office materials, etc.
+ Compliance: Ensure that the site complies with all relevant local regulations and company policies, including health and safety standards. Work closely with other functions and team of India Commercial entity to coordinate activities. Support Compliance and audit manager in coordination of activities, e.g. testing of business continuity plan.
+ Support community activities like Diversity & Inclusion, Integration events. Work closely with Site lead and HR to organize social activities for community (e.g. sport).
+ Promote agile ways of working.
**Qualifications Required:**
+ Education: Bachelor’s degree in Business Administration.
+ Experience: Minimum of 3-5 years of experience in office management or a similar role preferably in a global or multinational environment
+ Strong organizational and multitasking skills.
+ Excellent communication and interpersonal skills.
+ Proficiency in Microsoft Office Suite (Teams, PowerPoint, Excel and Word).
+ Attention to detail and high level of accuracy.
+ Problem solving skills and ability to handle stressful situations.
**Preferred:**
+ Experience working in a shared service center.
+ Knowledge of project management tools and methodologies.
+ Agile knowledge and experience of working in agile teams would be a big plus.
**Working Environment:**
+ This position is based in Bangalore and will require on-site work 4 days a week for at least the first year of employment to support the setup of the Site. After the initial setup phase a change in hybrid working can be discussed with the line manager.
