Job Description Your Team The Office Coordinator position is part time, working approximately three days/24 hours per week. The Office Coordinator will provide internal and external Team Members with an exceptional customer experience. Ensure our guests and callers will always receive a warm welcome and that their first impression of Brookfield Residential is exceptional. Oversee the maintenance of the office and respond to Team Member’s requests in a professional manner. Implement office polices by establishing standards and procedures, measuring results and making necessary adjustments. Completes operational requirements and following up on work results. Your Key Deliverables Office Management: + As the liaison for Brookfield, maintain a high level of professionalism with all internal and external interactions. + Manage the day-to-day operations of the Scottsdale office with limited supervision. + Be available to assist all Team Members. + Have a strong understanding of the departments and Team Members in order to effectively assist all Team Members. + Act as the point of contact for all Scottsdale office-related services with the Landlord. + Continue to improve Scottsdale office operations to produce efficient processes. + Order supplies for the Scottsdale office and field offices including, but not limited to postage, office supplies, PPE, stationary, food and drink on an ongoing basis. + Manage the maintenance of Scottsdale office and Field Offices. + Coordinate office space and Team Member space as needed. + Coordinate office design enhancements or construction as needed. Office Responsibilities: + Fulfill receptionist responsibilities in the Scottsdale office, which include answering the phone and greeting visitors. + Maintain office appearance, including but not limited to: + Restock and refill the Scottsdale office and field offices supplies on an as needed basis. + Wipe down counters in the Scottsdale office kitchen and conference room tables as needed. + Keep the Scottsdale office free of clutter. + Periodically clean out and clean the Scottsdale office refrigerators. + Manage the upkeep and maintenance of the Scottsdale and field offices machines as needed (copiers, plotters, coffee machines, water machines, ice machine and dishwashers). + Manage all incoming and outgoing mail for the Scottsdale office. + Incoming Mail: Open, sort and distribute each day. + Outgoing Mail: Stamp mail, drop off FedEx and UPS daily and assist team members with overnight parcels. + Courier deliveries. Administrative Support: + Process office invoices/ensure proper coding and billing accuracy. + Schedule and organize meetings, appointments, reservations and travel plans for executives. + Perform other clerical duties and support for other positions as may be needed. + Assist with the processing and storage of project documents. + Submit and audit check requests as needed. + Coordinate team meetings. + Participate in various office initiatives and committees. Event Planning: + Assist with coordinating all company outings, dinners, and meetings. + Facilitate and oversee event planning of team days throughout the year, including confirming dates, working with vendors and coordinating the day-of logistics. + Coordinate birthday celebrations for all Scottsdale office team members. + Act as the point of contact for organizing volunteer events.
