Office Coordinator - Carmel, IN

The office coordinator is responsible for performing reception and mailroom duties throughout the Carmel campus, including welcoming and directing visitors, maintaining employee directories, distributing campus communications, maintaining digital bulletin boards, processing outgoing packages, and receiving, sorting, processing, and delivering mail and incoming packages. 

What You Will Do:  

The following duties and responsibilities are to be performed accurately, efficiently, within Company policies, safety requirements and within specified time frames and as needed.
 

Serve as Allegion’s ambassador for visitors, candidates, new-hires, contractors, government officials, emergency responders, and employee personnel.  Notify employee personnel of visitor and catering arrivals.Manage the security access control systems, including printing, activating, and deactivating badges, troubleshooting and diagnosing issues, and partnering with service providers as needed to complete repairs.Coordinate with, and assist, the Executive Administrator team, as requested.Create and update visitor and new employee communications and the visitor logbook.  Manage the virtual receptionist kiosk and digital bulletin board systems throughout the corporate campus, and provide support as necessary for HRTC.Maintain the campus main telecommunications system and voicemail, including transferring calls to appropriate personnel, patiently addressing disgruntled callers, and taking appropriate actions to inquiries and customer complaints.Maintain reception areas, mail room, and mother’s rooms in an organized and clean manner.Lead campus communications, including creating weekly campus communication slides, creating and sending general campus email notifications, and managing the emergency and campus closure messaging system.Direct emergency personnel, and aid others as needed, during emergencies.  Serve on the campus emergency responder team; maintain an up-to-date roster for each emergency responder team and necessary certifications of team members.Create and maintain employee directories and seating charts.  Monitor and fulfill office move requests.  Assist in the relocation of employees, as needed.Maintain the employee suggestion box, break room bulletin boards, and campus Labor Compliance and Workers Compensation posters.Coordinate team celebrations and campus birthday celebrations.Receive, log, sort, and deliver mail and packages throughout the Carmel campus.Process outgoing mail and packages, including international shipments.Perform frequent inventory assessments for printer paper stock levels campus-wide; and fill accordingly.Communicate proactively, professionally, positively with all levels of business associates.Interface with external vendors to complete work as needed.Responsibilities also include maintaining office supply inventories, setting up for large meetings, making deliveries, assisting with catering requests throughout the Carmel campus, and assisting with facility or building projects.Responsible for assisting with the access control system for the Carmel and HRTC buildings, troubleshooting and diagnosing issues,

What You Need to Succeed:

Bachelor’s degree in business, communication, or other relevant field preferredDemonstrated knowledge of Microsoft Office SkillsStrong communication and interpersonal, time management, and organization skillsAbility to solve problems and make decisions independently and confidently as neededCustomer service-orientedAbility to work as part of a team and build collaborative relationshipsQuick learner and ability to quickly understand and support new tasksMinimum of 1-3 years’ experience preferredResearch, problem solving, innovative thinking skills, preferred.
