Office Coordinator

The Product & Engineering organization is now looking for an Executive Assistant to join their team in Sunnyvale, California. As Executive Assistant to several directors, you will be a key player in ensuring the smooth operation of their day-to-day activities. You will be responsible for managing their calendar, coordinating meetings, arranging travel, and providing administrative support, all while maintaining the highest level of discretion and confidentiality. 

 

Skills

Ability to handle information with discretion and confidentiality Fluent English language skills (written and verbal) Proficiency in MS Office Suite: excellent knowledge of Microsoft office applications, including Outlook, PowerPoint, Excel and Word. SharePoint and Teams knowledge is a plus. Ability to create clear and concise communication in various formats Track record of strong executive assistance experience Excellent planning skills, with the ability to manage complex calendars across multiple time zones and prioritize tasks in a fast-paced environment. Strong organizational skills with the ability to think critically, solve problems effectively and make decisions Strong attention to detail and a commitment to delivering high-quality work

Knowledge & Experience
Specialized or broader knowledge of theory and principles within a professional discipline. 
8 + years of experience and a graduate equivalent degree.

On-site position in Sunnyvale: Candidate must be local to Sunnyvale.

 

Travel & Expense Management: Plan and arrange complex travel itineraries, schedule appointments, and process expenses. On site support: Provide assistant support services in the Sunnyvale, CA office for our executives. Meeting Coordination: Organize and facilitate meetings, including booking facilities, distributing materials (minutes, presentations), and managing follow-up actions. Project Support: Assist in the production of presentation materials and the coordination of internal and external events. Team Collaboration: Interact and coordinate with members of the Product & Engineering leadership team, BG management team, and other executive offices. Process Improvement: Continuously seek opportunities to improve processes, methods, and overall efficiency. Calendar & Time Management: Proactively manage the executives' calendar, prioritizing appointments and ensuring efficient time allocation across multiple time zones. Communication & Information Management: Screen incoming topics, prioritizing and responding appropriately. Seek, update, and provide information, including research and compilation of reports, presentations, and organizational charts
