About the RoleThe Office Coordinator Assistant ensures the maintenance and efficient operation of office facilities and coordinates administrative activities related to resources and assets. You will ensure that office workflow procedures are followed with maximum efficiency by your ability to clean communication and interpersonal skills capable of building rapport and strong relationships. You will report to the Finance/Site Manager and will be the main point of contact for any inquiries or concerns for our Costa Rica site when the Finance and Site manager is unavailable.
Your Area of Focus Maintain and update Standard Operating Procedures (SOPs) related to facilities and maintenance. Manage and respond to incoming phone calls on the office cellphone, ensuring timely and professional communication with vendors. Supervise cleaning staff (and reception) and coordinate office equipment maintenance. Manage, track, and coordinate purchases, including the acquisition of materials, products, and services necessary for the smooth functioning of the office. This includes supplier relationships, price negotiations, and ensuring quality, timing, and cost requirements are met. Administer office, cleaning, and cafeteria supplies and inventory. Manage the employee snacks and fruit program within the assigned budget. Collaborate with the occupational health consultant and committee for projects and regulatory compliance. Actively participate in the Culture Committee. Coordinate import/export processes. Coordinate SWAG Store processes (inventory management and distribution). Collaborate with the accounting team on equipment management and asset regulations. Record and track fixed asset movement in Softland (changes in status, location, and responsibility). Open or follow up on maintenance tickets through the AFZ tool to manage facility maintenance as needed. Coordinate with AFZ administration for tasks related to office facilities. Participate in cultural activities and events, including creative planning and vendor quotation. Create purchase orders for approval before making purchases of goods or services (including all department purchases). Review cash flow. Costa Rica Corporate Credit Card Report. Decorate the office site for events as needed (Halloween, Christmas, National Holidays, etc.). Your Professional Qualifications High School Diploma or any Business Administration, Office Management, or a related field (preferred). 3+ years relevant work experience, as Office coordinator and/or assistant. Experience handling office management tasks such as scheduling, managing supplies, and coordinating logistics. Experience managing vendors and facilities is preferred. Experience in Free Zone Compliance. Strong ability to multitask and manage multiple priorities. Strong customer service orientation and problem-solving skills. Willingness to take on a variety of tasks and adjust priorities as needed. Ability to adapt to changes in office dynamics or priorities. Excellent English communication skills, both written and verbal. Ability to work your way around computer and office software applications with ease. Excellent attention to detail. Excellent time management and organization skills for office workflow procedures and requirements.
