Office Coordinator/Executive Assistant

Consulting Group located in Midtown, Manhattan is seeking to hire a Temporary to Permanent Office Coordinator/Executive Assistant to support the office and team members. This position will start after Thanksgiving and require 5 days in office. Hours are generally 9:00am-5:00pm with 30 minutes for lunch (37.5 hour work week), availability for OT as needed.

Responsibilities:

Order, set-up and clean-up weekly in office lunchesWork with building services to maintain office spaceOrder supplies and groceries. Keep kitchen and supply areas tidy and stockedSupport various in office and out of office eventsWork with building security for guests and employee accessSupport multiple Partner/Director-level executives.Schedule meetings and maintain calendars. Anticipate scheduling conflicts and prioritize meetings.Prepare and reconcile expense reports.Coordinate all aspects of travel arrangements for both domestic and international business travel including but not limited to booking flights, hotel and local transportation and arranging passport/visa requirements if necessaryManage travel profiles with all personal travel information and preferences.Correspond independently and professionally with team members and clients. Handle sensitive/confidential information requiring a high level of discretion.Develop a good working relationships team members in all levels of staff. Develop effective relationships with other team members, including clients and their support staff.Coordinate meeting set-up; audio visual, meeting space and materials.Performance Advisor Review Meeting Scheduling - during review months, schedule for each Partner and their designee.Maintain Partner Contacts - add new client contacts as they are flagged by outlookOther EA Tasks - manage monthly Partner benefit allotment, facilitate gifts to clients and to staff, communicate with Partners' significant others (if requested), passport renewal, etc.

Qualifications:

Bachelor's degree required5+ years of related experience required in working in an executive assistant role within professional servicesAdvanced Proficiency in Microsoft OutlookAbility to communicate effectively and professionally.Demonstrate ability and temperament to work with sensitive information.Excellent communicator - able to interact with people of all levels in a confident, professional manner.Has a strong business sense and can decipher priorities and make sound judgment calls when needed.
