What You'll Do
We are looking for a hospitality & service oriented, team focused and driven individual who thrives in a fast-paced and challenging environment. Working closely with the Raleigh- Durham Business Services Team and supporting the Raleigh- Durham (RDU) Business Management Director (BMD), the Office Experience & Events Specialist will 1) support the smooth day-to-day operation and consistently high level of customer experience for the RDU office, and 2) oversee the strategy and delivery of affiliation events and staff engagement initiatives. This role is essential to the culture of the RDU office and is a high visibility role, working closely with RDU senior office leadership. The expectation is that this person is in-office five days a week, though there is some ability to work remotely sporadically.
Key responsibilities of this role include:
Office Experience – about 40% of the job
Working with the Raleigh- Durham BMD and the Office Experience (OE) team to develop, implement, and project manage initiatives that improve the office experience for all staff. Proactively identifying opportunities; applying fresh and creative ideasWorking in collaboration with the RDU Business Services Team to deliver a “5 star” experience for anyone who enters the RDU office; specifically, a smooth day-to-day operation and consistently high level of customer experience and support for the RDU office. This includes partnering with the OE team on food delivery / catering for relevant office meetings / events, snack selection & stockingWorking in collaboration with the Business Services Team to coordinate in-office meetings, ensuring a high level of customer service and seamless logistical support for every detail including catering, room reservation, room set-up, coordination of AV needs with the IT TeamA key in-office resource for staff & guests, including providing recommendations for the greater Raleigh- Durham area and greeting /being a friendly face in the officeIn partnership with OE team members, acting as point of contact for vendor relationships as required, including catering, equipment, supplies, maintenance, and other services and productsProject managing, collaborating, and executing on special projects as neededProviding backup to the other members of the Business Services Team as necessary, especially on days with multiple internal eventsMaintaining the positive brand of the BCG Raleigh- Durham office
Events – about 60% of the job
Driving staff affiliation, morale, and connection by working closely with the Raleigh- Durham BMD to strategically plan and execute office events (both internal and large external events)Owning end to end internal RDU events – this means driving initial planning (site visits if needed), vendor contracting, managing guest lists, creating communications and day-of executing, all done in close concert with RDU office senior leadership. Examples of internal events include office-wide happy hours, New Hire welcome parties, cohort specific events (e.g., senior leader outings), in office events (e.g., leadership breakfasts), All Staffs, recruiting events and several other events within the RDU office. Note some internal events may be hosted offsite (e.g., happy hour at a restaurant)Closely partnering with the Raleigh- Durham BMD and OE team to help with day of execution, administrative tasks and logistics planning of large external events in RDU such as annual holiday party, offsites, family days, talent shows, community service days, as well as other external eventsPartnering with the NAMR DEI team and RDU DEI nodes to plan and execute local event programming for affiliation networks (e.g., helping Women@BCG diversity network plan for women’s month)Driving event marketing & communication plans, generating engagement, promoting attendance, preparing guest lists and invitations, sending confirmations, tracking RSVPsCoordinating office-wide events calendar and communications planCreating event budgets and expenses with high level of detail and accountabilityResearching and developing relationships with all types of event vendors, including caterers, venues, entertainment and more. Your qualifications
A Bachelor’s degree with a minimum of 2 years’ experience in a fast-paced environment, ideally within a professional services contextDemonstrated ability to motivate individuals and teams to produce desired outcomes within tight timeframes. Proven initiative and follow-up skills, including a strong sense of autonomyStrong change and project management skills. You have clear systems and composure to deal with multiple tasks at once. You have excellent organization skills and a strong attention to detailExcellent communication, analytical, and stakeholder engagement skillsStrong Word, Excel, PowerPoint, Slack, OneNote, Trello and other collaboration tools
Who You'll Work With
You'll be working within a closely knit team across Raleigh- Durham and the broader Southeast, reporting to the RDU Business Management Director. The broader Raleigh- Durham Business Management & Operations Team is very collaborative and enjoys learning and mentoring each other. Your manager will be a great resource for support and coaching, and will provide developmental guidance and support as your grow your career at BCG.
