Office Experience Assistant
WHAT YOU'LL DO
The Office Services Experience Assistant is a key member of the Office Experience team who takes ownership of the overall maintenance of the office, manages relationships with vendors, and provides support to the entire staff. Tasks include but not limited to maintaining the general appearance of the office and office equipment, stocking and maintaining kitchens and all common areas, fulfilling meeting/event job requests, supporting local office affiliation, assisting with building services requests and other tasks as necessary. In addition, you will provide backup assistance to other members of the Office Experience Team.
YOU'RE GOOD AT
Maintaining overall appearance and cleanliness of the office:Proactively checking all conference rooms, communal areas, offices and workstations often throughout the day to ensure that all work areas are clean (e.g., wiping down surfaces, resetting meeting rooms, free of trash, etc.)Checking all printers to make sure they are clean and organized; disposing of any client confidential material that has not been picked up in a timely mannerMonitoring IT equipment in offices & conference rooms and reporting issues as necessarySupporting office maintenance and repairs:Acting as a resource during office repairs, liaising with Office Experience team, building & vendors as necessaryReporting office/space issues and working with the team to address and rectify themMonitoring the basic functions of the printers, faxes and copy machines by replacing paper and toner; trouble shooting and calling for repairs when necessaryCatering coordination:Setting up and breaking down food and beverages for numerous office meetings and staff lunchOffice supplies:Ordering supplies and ensuring appropriate supplies are stocked and organized in shared workspacesConference rooms:Responsible for overall cleanliness and organization of conference rooms and ensuring they have adequate suppliesCoordinating with meeting organizers & Office Experience team to ensure all meeting needs are met, including catering, furniture arrangement, IT and other room set-upGood working knowledge of our conference room/meeting technology to support basic IT needs along with ability to troubleshoot common user issuesArranging furniture to accommodate meeting room set-up needsMail coordination:Coordinating mail/package delivery daily. Post/drop-off and pick-upManaging the essential functions of Federal Express, UPS, and other courier services and ordering supplies when neededKitchen coordination:Maintaining office kitchens, including proactively replenishing all kitchen supplies, food/drinks, etc.Heavy lifting required which can include large cases of food and drinks; able to use a step ladderResponsible for overall cleanliness and organization of office kitchens during the day.  Ensuring proper maintenance of kitchen equipment and disposal of trashProactively managing inventory levels for food and other kitchen suppliesTeaming/Misc.:Providing back-up Concierge coverage when neededProviding backup to the other members of the Office Experience team as necessary, especially on days with multiple internal events or when other team members are out of officeOffice digital signage
YOU BRING (EXPERIENCE & QUALIFICATIONS)
High school diploma or equivalentMinimum of one-year office services or retail experience preferredMust be able to work standing up all or most of the timeMust be able to lift up to 50 lbs. on a regular basisAbility to prioritize work to balance multiple projects and deadlinesExcellent verbal and written communication skillsExceptional customer service skillsConscientious, responsive to deadlines, arrives at work on time and able to work additional hours as neededAbility to work both independently and with a teamAttention to detail with emphasis on accuracy and qualitySelf-starter with high degree of flexibility and ability to work in a fast-paced environmentStrong organizational skills and attention to detailWillingness to take ownership and an openness to feedbackFlexibility to work overtimeComputer literacy required with familiarity with Word, Excel and PowerPoint
YOU'LL WORK WITH
You will work closely with the Office Experience team to provide support to our business services, consulting staff, and visitors to BCG’s office.
ADDITIONAL INFORMATION
This role currently requires 5 days a week in office presence. This in-office plan allows for critically important learning, collaboration and networking with our colleagues.
