Office Facilities Coordinator

This is a key role which will oversee the facilities function within our Richardson office. The position will be primarily responsible for supervising the day-to-day facilities management and building liaison as well as overseeing the reception area. The candidate will report to the office head with a dotted line into the Americas Operations Manager. The candidate will be expected to assist with the managing of the relevant vendors for the office space as well as become involved in contract negotiation with external providers. 

 

Day-to-day responsibilities: 

Negotiate service contracts such as cleaning contracts and renewals with suppliers seeking assistance from the Americas Operations Manager where necessary. Supervise the Reception Desk, and perform where necessary, office administrative and reception tasks such as post, faxes, photocopying and courier requests, binding, scanning etc to provide back up support to the EA’s. Monitor stock levels and order office and kitchen supplies for the office including business cards and printed stationary. Ensure adequate PPE is on site and take control of local business continuity and crisis management efforts; manage emergency evacuation procedures; co-ordinate fire warden and first aider training. Take responsibility for fulfilling the role of Chief Fire Marshal Vendor relationship management with service and consumables providers (e.g., health and safety, security, taxi, courier, cleaning, stationary, kitchen supplies etc.). Co-ordinate desk and furniture moves with the assistance of the Americas Operations Manager and IT Set up security access and work with IT to ensure any new starters are allocated locker space and aware of how to utilise the new office space Coordinate events such as office summer and Christmas parties in conjunction with other support staff where necessary. Attend Building Tenants Meetings to ensure that Kroll is represented. Act as the key point of contact for the floor regarding building management matters. Arrange annual carpet-cleaning and internal window cleaning. Ensure all facilities-related matters are reported to building maintenance and/or building management and resolved in a timely manner.  Maintain all related contracts (plant, furniture, air conditioning etc.).  Ensures all office equipment is maintained and serviced regularly.  Maintain cleaning contract and relationship with supplier; ensure that cleaning standards are at the highest level. Ensure security pass access to cleaners is always secure. Conductnew starter administration, security, fire and health and safety inductions  Activate and terminate access cards for all starters and leavers with the help of Infosec team. Ensure the office is always kept tidy and presentable. Ensure annual risk assessment is carried out by third party and that recommendations are implemented promptly.  Work with the Office Head and Americas Operations Manager to assist in maintaining the Health and Safety policy and ensure all associated documentation relating to health and safety is maintained. iOffice – provide local support for the implementation of iOffice.

 

Essential traits: 

Experience of delivering a high standard of administrative and/or facilities support across a busy site. Experience of managing vendor relationships and negotiating supply contracts. Able to prioritise and manage competing demands under pressure.  Excellent organisational skills. Exposure to Heath and Safety and facilities type maters an advantage. Strong communications and interpersonal skills, able to confidently interact with people at all levels of the business. Computer literate with excellent working knowledge of Word, Excel and Power Point. Well presented with a professional approach. Ability to work to tight deadlines. Enthusiastic team player, outgoing and confident.
